Job Summary: The Program Coordinator I (P9) will support faculty and students with the day-to-day development, delivery, and evaluation of the Pre-Clerkship curriculum under supervision of the Pre-Clerkship Program Manager and guidance of Pre-Clerkship Program Coordinator IIs. The Program Coordinator I is responsible for creating, coordinating, and disseminating information related to the assigned courses; revising and publishing course content in the learning management system (i.e., Canvas); updating course calendars and schedules, reserving rooms and/or creating Zoom sessions; and serving as a liaison between the course co-directors, faculty, students, and staff within Pre-Clerkship and across the College of Medicine.

Required Education:

  • Bachelor’s degree or any equivalent combination of training and experience

Required Experience:

  • Two (2) year of related experience

Required Special Knowledge, Skills, and Abilities:

  • Ability to multi-task and work cooperatively with others

  • Experience working with diverse individuals and communities

Preferred Experience:

  • Experience in health services and/or pre-clerkship medical education

  • Experience in higher education, project management, or administrative role including some supervisory experience

  • Experience with professional education programs

  • Experience with learning management systems – Canvas

  • Proficiency in MS Word, Excel, PowerPoint, Outlook and database applications

  • Experience working with diverse individuals and communities in a higher education setting

Preferred Special Knowledge, Skills, and Abilities:

  • Familiarity with learning management system--Canvas and/or eCampus

  • Effective communication skills

Job Responsibilities

Pre-Clerkship Coordination

  • Coordinate all course information and scheduling for the assigned courses. This includes:

    • Arranging room reservations/scheduling Zoom sessions

    • Coordinating proctors and rooms/Zoom sessions for examinations

    • Maintaining the learning management system

    • Preparing for- and leading the course initiation meetings

    • Serving as primary administrative liaison with faculty regarding course scheduling

  • Coordinate with the Office of Academic Technology, Marketing, and Communication for support related to course sessions, exams, and trainings

Curriculum Management

  • Collaborate with coordinators and course leadership to coordinate and disseminate course materials required of curricular blocks, threads, clerkships, and electives within COM’s undergraduate medical education program (UME)

  • Administer curriculum in an e-learning environment utilizing a learning management system application as well as additional required software applications

  • Manage the learning management system for the assigned courses

Communication and Team Cooperation

  • Attend meetings related to Pre-Clerkship

    • site specific coordinator meeting (required)

    • all sites coordinator meeting (required)

    • Pre-Clerkship Subcommittee meeting (as needed)

    • Curriculum Committee meeting (as needed)

  • Initiate investigation of student and Pre-Clerkship faculty concerns, identify problems, recommend solutions to Pre-Clerkship Program Manager and/or Pre-Clerkship Assistant Dean

  • Work collaboratively and cooperatively with other Pre-Clerkship coordinators, faculty, and staff

Accreditation

  • Maintain and coordinate data required to comply with institutional program and accreditation requirements in a timely manner

  • Assist the Office of Evaluation and Assessment in the mapping of curriculum content for assigned courses

  • Assist the Office of Evaluation and Assessment in the tracking of faculty contact hours and compiling into the specified format

Policies & Procedures

  • Perform all tasks and job responsibilities safely without injury to self and others in compliance with A&M System and HSC guidelines.

  • Maintain strict confidentiality with regards to exams, quizzes, and planning information prior to implementation

  • Understand and possess knowledge of Undergraduate Medical Education policies and procedures, as well as the Medical Student Handbook

  • Undertake special tasks and projects as assigned by Pre-Clerkship Program Manager and/or the Pre-Clerkship Assistant Dean

Other Duties

  • Perform other duties as assigned.
