Coordinate the daily operations and logistics for the MA and MA/PhD. programs in African and African Diaspora Studies (AADS) to include marketing, recruitment of student and applicant process as well as the Study Abroad program. Maintain strong line of communication with AADS program prospects, active students and alumni.

  • Oversees the day to day office activities and operations including temporary personnel of AADS, student workers, etc.
  • Provides assistance to the administration of the undergraduate and graduate certificate programs in AADS, the MA program (including combined MA/PhD programs) in AADS, and any study abroad program developed for summer or any other delivery.
  • Serves as liaison between the AADS Director, the community, the administration and the students.
  • Provides support to the Director in AADS activities by Attending to programming matters, assist with the development of promotional matters related to event programming; maintains calendar of activities of Director and Program. Coordinates meetings and represents the unit when necessary at meetings upon Director's request.
  • Provide admission advising for all AADS programs MA and MA/PhD Programs including Study Abroad.
  • Meet with applicants and enrolled students to discuss program offerings, application procedures and discuss their overall progress. Contact applicants proactively at regular intervals to assist with the application process and maintain interest.
  • Works with student organizations, groups and individuals to develop interest in AADS programs, classes and certificates. Works with Student Affairs Division to effectively market AADS programs and classes.
  • Develops and advises AADS student organizations.
  • Provides logistic support and develops operational details of AADS conferences, symposium, lectures and other events including the assignment and confirmation of rooms, arrangement of refreshments, preparation of handouts, fliers, e-mail postings, information packages, display of program promotional information and travel of speakers.
  • Prepares final product of all program reports, by inputting material, producing professional final copy, photocopying, etc.).
  • Coordinate with Program director, faculty, and newly admitted students to discuss all academic processes related to student enrollment and graduation metrics.
  • Collaborates with FIU Online for online course offerings and Academic Planning and Accountability for dual enrollment courses.
  • Attend study abroad fairs, seminars and related events as well as visits class and student organization meetings to promote the program.
  • Facilitate and coordinate the sign-on process for graduate teaching assistance in AADS programs. Coordinate with SIPA-Deans office and HR to ensure completion of sign-on packets. Maintain and update AADS personnel file, document status of submitted actions and follow-up as needed.
  • Collaborates with the Office of Education Abroad for flyers, marketing, information sessions, scholarships, and more. Assists the Program Director with planning and execution of information sessions and program events.
  • Coordinate program marketing materials (flyers, brochures, posters, social media posts, and website graphics) to promote academic programs, events, and visual brand with the SIPA Marketing and Communication Team. Distribute marketing materials to internal units, South Florida community, social media, and AADS related organizations nationwide and its network.
  • Maintain and update record of students advisement in order to track progress in program. Coordinate with Program Director and take necessary action in effort to ensure positive student progress.
  • Coordinate the distribution, collection and submission of teaching assistance evaluations for AADS programs.
  • Serves as a university card user for departmental transactions. Handles cash/gift card transactions on a daily basis. Adheres to University credit card policies and procedures.

 

Bachelor's degree and two (2) years of office or related experience.

Knowledge of basic goals and intent of African Studies Program (degree preferred).

Administrative

$40,000-$45,000

Begin time: 8:30 AM
End time: 5:00 PM

Required to spend 50% or more of time operating a computer
