Executive Education at the Tepper School of Business works with public and private organizations to develop senior and executive leadership and organizational capability. Our programs enable participants to have an impact on their organizations – connecting their needs with the knowledge, faculty, programs, technology, and teaching offered at the Tepper School of Business and Carnegie Mellon University.

We are searching for a Program Coordinator to join the Tepper Executive Education team. This is an excellent opportunity if you thrive in an interesting and challenging work environment. You will contribute to the department by supporting the planning, coordination, and delivery of programs within our portfolio. This position coordinates the administrative and operational aspects of the department.  In addition to supporting assigned events/programs, the program coordinator manages communications and scheduling, program logistics, and is responsible for efficient, cost-effective program administration with the goal of providing extraordinary customer service in online, on-campus/in-person, and/or hybrid environments. In partnership with our Program Managers, the Program Coordinator shares responsibility for maintaining budget and records pertaining to the program expenditures, implementing policies and procedures, and executing the activities and agenda for a given event/program.

Core responsibilities will include:

Program Portfolio Coordination

  • Assist with planning and coordination of assigned Open Enrollment and Custom programs including: Pre-Post program setup/breakdown, onsite support for in-person programs, online support for digital and hybrid programs, this may include weekend, evening, and early morning hours depending on the program, and after-action review participation;

  • Work to keep programs on schedule, within stated budgets and functioning smoothly. This includes tracking billing, payments and other financial transactions;

  • Support portfolio recruitment, development, travel, and coordinate interactions/relationships between university staff, contracted vendors, and the Executive Education team as necessary;

  • Manage the learning management system for programs, including ensuring all teaching materials and other logistic information is posted on a timely basis

  • Manage evaluation process and track follow-up items; Propose solutions and/or improvements to faculty and management regarding long-term program needs.

Administrative and Departmental Coordination

  • Provide confidential administrative support for the Assistant Dean, which may include special projects, managing the schedule/calendar, making travel arrangements, screening and handling executive communications, greeting and directing visitors, and addressing administrative problems and inquiries as appropriate;

  • Serve as a primary point of direct administrative contact and liaison with other offices, individuals, and external institutions and agencies on a range of specified issues; organizes and facilitates meetings, conferences, and other special events, as required

  • Coordinate and oversee the day-to-day management of supplies, equipment, and facilities for the organization, as appropriate, to include maintenance, inventory management, logistics, security, related activities, and duties as assigned.

  • Ability to manage multiple priorities and maintain composure under pressure;

  • Excellent interpersonal skills and strong verbal and written communication skills;

  • Ability to pay close attention to detail, work on multiple tasks, prioritize work, and follow through reliably;

  • Capability to anticipate logistical needs proactively, follow processes, and look for opportunities for efficiency gains/process improvements;

  • Fundamental knowledge of invoicing and tracking spend against budget.

Qualifications

  • Associate’s degree required; Bachelor’s preferred

  • 3-5 five years of experience required; experience with program and/or conference coordination in higher education or industry is highly desired

  • Demonstrated proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) and/or Google Workspace

  • Experience creating and executing detailed agendas, scheduling for groups and/or senior administrators

  • Comfortable working in a high-volume/fast-paced environment

  • Flexibility for evening/weekend hours and ability to travel preferred
