This position will report directly to the academic department administrator with direction from the chair of African American Studies and the Director of Undergraduate Studies (DUS).  The program coordinator will provide administrative support to the Department of African American Studies and its core faculty and academic administrative support to its undergraduate majors and minors.

 

JOB DESCRIPTION:

  • Primary duties are organizing, coordinating, and planning operational facets of a program and its related activities which include, but are not limited to the following: establishing long-term operational objectives, researching factors that may impact the success of the program, and working with individuals or groups to research and document program requirements in order to provide appropriate input into the development of strategic plans.
  • Develops work plans to accomplish program goals and objectives and monitors progress toward their achievement.
  • Conducts research and gathers information to develop various publications.
  • Develops promotional materials which may include content for reports, briefings, newsletters, grants, or other written information related to the program. Assists in developing and coordinating program-related conferences, conventions, or meetings.
  • Monitors expenditures and may participate in the budget planning process and prepare financial reports.
  • May assist in identifying funding resources and developing fund-raising strategies and initiatives.
  • Prepares operational and statistical reports.
  • Conducts training, represents the program at meetings and conferences, and networks with affiliated groups.
  • May supervise assigned project staff, interns and/or volunteers.
  • Performs related responsibilities as required.
  • This is not an administrative support position.

ADDITIONAL JOB DETAILS:

  • Collects multi-year teaching plans to forecast coverage of major/minor requirements, review fall/spring course offerings and analysis of distribution among days and times to help the DUS and faculty make necessary adjustments for optimal placement and to ensure compatible scheduling with the graduate program and seminars.
  • Submits course offerings, cross-listed courses, completes new course curriculum proposals, oversee degree application/certification of majors graduating.
  • Submit and/or complete course proposals for new courses, cross-listed courses, and works with the DUS in monitoring use of topics courses; prepare reports on courses, enrollments, and distribution among GER and major and minor requirements. 
  • Serve as the primary contact for the OUE, the Registrar’s office, and for undergraduate students.
  • Ensuring alignment and necessary adjustment between department procedures and offerings and university and college polices regarding courses.
  • Responsible for course submissions, maintaining teaching course evaluations, collection of faculty office hours and syllabi each semester, advising students on major/minor requirements, desk copy requests from faculty, assist with faculty book orders (facultyenlight.com).
  • Regularly scheduled meetings with the DUS, preparing promotional materials for major/minor events: undergraduate fairs at the Atlanta and Oxford campuses, information sessions.
  • Maintaining major/minor files; Maintain and update major/minor list and student list serv.
  • Update undergraduate informational materials.
  • Prepares operational and statistical reports concerning number, rank, progress, and distribution of majors, as well as other data required by university, college, and department administrators.
  • May attend events/meetings in place of the DUS.
  • Administrative Duties include but are not limited to:
  • Regularly scheduled meetings with the ADA, Chair, and DUS, updating and maintaining AAS website and all listservs, responding to inquiries regarding events and the undergraduate program, monitoring the  AAS electronic mailbox-including USPS mail, assisting with the logistics of AAS events (scheduling event space, catering, videographer), updating department forms, maintaining filing system, accounts payable, ordering supplies, hiring TA and work study students.
  • May serve on departmental committees.

 MINIMUM QUALIFICATIONS:

  • Bachelor's degree in a field related to the program and two years of related experience, or an equivalent combination of education, training, and experience.

PREFERRED QUALIFICATIONS:

  • Proficient in Microsoft Office, Adobe, web design (Cascade) creating and designing publicity (flyers, brochures, programs).

NOTE: Position tasks are generally required to be performed in-person at an Emory University location.  Remote work from home day options may be granted at department discretion. Emory reserves the right to change remote work status with notice to employee.
