Position Summary

The Program Coordinator position is in the Curricular Affairs unit of the Office of Medical Education at the College of Physicians and Surgeons. The Program Coordinator will be a part of the clinical curriculum administrative team, serving students, faculty and staff with focus on the Major Clinical Year of the curriculum.

This position reports directly to the Director of Curricular Affairs and will also have indirect reporting responsibility to the Clerkship Directors.


Responsibilities

  • Major Clinical Year (MCY) responsibility (50% time, varying through academic year cycle)

    • Under the direct supervision of the Director of Curriculum Administration, this individual will be responsible for:

      • Design and create resources, schedule, coordinate, and communicate all sessions and trainings related to the transition to MCY and R4MCY programming ensuring students have completed all regulatory items prior to the start of the clinical year

      • Work with the chair of the MCY subcommittee to schedule 6 meetings per year, set agenda, coordinate communication and take minutes. Coordinator will be the conduit for information flow back to the curricular affairs administrative team

      • Work with director of curriculum to organize yearly communication strategy for MCY related policies, reminders and information dissemination to students, faculty and staff

      • Central monitoring and reporting the timely completion of Student Performance Evaluations, and case loggers through the OASIS (Online Access to Student Information and Scheduling) system. Reporting of any late evaluations is sent to the director of curriculum, Associate Dean for Curricular Affairs, and the Chair of the MCY curriculum committee for follow up with appropriate clerkship director

      • Provide ongoing technical support for clerkship staff (directors & coordinators) and serve as the main contact for MCY related issues for students, faculty, and staff
      • Serve as point person for NBME shelf exams, overseeing test day logistics, including the arrangements for ODS students
      • Create and maintain up to date content on Uservoice knowledgebase for students and faculty/staff and managing ticket queue for student inquiries
      • Process Clinical Placement agreements for new clinical sites in the MCY
      • Monitor and troubleshoot throughout the year on all matters related to the MCY
      • Works closely with the director of curriculum administration to streamline processes, maintain administrative records, troubleshoot and develop better logistics for the MCY
      • Other duties as assigned
  • Primary Care Clerkship responsibilities (50% time, varying through academic year cycle)

    • The Program Coordinator will primarily provide administrative support for the Primary Care Clerkship during the Major Clinical Year of the College of Physicians and Surgeons clinical curriculum. Under the direct supervision of the Manager of clinical curriculum and accountable to the faculty Clerkship Director and Assistant Clerkship Director, this individual will be responsible for:

      • Serve as the primary administrative point of contact for the Primary Care clerkship and overseeing its daily operations, supporting students and faculty in preparation for and during rotations, and keeping Clerkship Directors informed about student and site issues as necessary

      • Oversee administration on the courseworks and OASIS clerkship sites, student communication and content delivery for the clerkship

      • Help maintain clerkship budget in consultation with the Finance Manager, including review and submission of invoices and travel and business expense forms

      • Manage the administration of the Daniel Noyes Brown Scholars Program, processing program applicants, event planning, coordinating bi-annual steering committee meetings, overseeing coursworks page and section of P&S website, and maintaining program budget

      • Other duties as assigned

Minimum Qualifications

  • Bachelor's degree or equivalent in education and experience, plus three (3) years of related experience

Preferred Qualifications

  • Database management
  • Advanced Excel skills

Other Requirements

  • Two years experience supporting the administrative needs of individuals in non-profits and/or academia
  • Excellent verbal and written communication skills
  • Strong organizational skills
  • Strong interpersonal skills and ability to handle student information with good judgment
  • Ability to undertake multiple tasks, set priorities, work independently and meet deadlines reliably
