Job Purpose
Under general supervision, this position will provide specialized clerical support for the Law School Clinic. Position will provide support to the general public, law school students, law school faculty and staff by assisting with daily administrative office needs, as well as providing legal resources to incoming callers or walk-ins. This position will also support record keeping, risk management within the department, travel planning and related recordkeeping, and support of events for the area. This position is considered key to the operation of the Clinic and is fast paced with constant interruptions. This individual is expected to function professionally with or without direct supervision, using discretion and maintaining confidentiality.
The budgeted annual salary range that the University reasonably expects to offer for this position is $41,803 – $44,000 annually. The internal full salary range is $41,803 – $56,557.

Function Details
  • Use multiple technical applications, including but not limited too: Microsoft Office Suite, LegalServer – database management, Canva graphics, and Gonzaga-specific database programs.
  • Submit department invoices for payment through Concur.
  • Maintain professional and accurate records including confidential records, reports, and information, both in electronic and written format.
  • Prepare correspondence and other documents, as assigned.
  • Assist in proofreading documents, as assigned.
  • Assist in preparing and updating orientation materials each semester.
  • Schedule and coordinate appointments, meetings, and other events for the department, including the procurement of logistical needs, in both outlook calendars and EMS.
  • Develop and maintain marketing and publications for Clinical Legal Programs in coordination with the School of Law Marketing Manager.
  • Support Clinical Legal Programs’ events through announcements in Morning Mail and Law School Monitors.
  • Provides all levels of file management support.
  • Serve as the liaison with offsite storage facility.
  • Engage in campus meetings & committees that pertain to the success of the department

  • Arrive on time to open and close office for daily operations.
  • Welcome and greet all visitors with helpful, professional, and positive demeaner.
  • Respond and proactively assist with inquires on a multi-phoneline system and email communications in a timely manner.
  • Maintain and order supplies for the department.
  • Submit work orders for area, and serve as the liaison with vendors regarding department equipment.
  • Sort & process school and department’s mail.
  • Maintain the reception area aesthetics and tidiness.
  • Proactively works to facilitate communication and build relationships between visitors, students, faculty, and staff in both the law school and other areas of Gonzaga. .
  • Support events including planning, set up, food ordering and pick up, and event breakdown.

  • Assists Manager in program compliance to college policies and procedures in the areas including record keeping, travel, events, and facility use.
  • Creates/maintains documents in support of position activities and cross-trains key staff on specifics of job duties/activities.
  • Ensures that all aspects of risk management are maintained for participant safety in department programs, events, and travel.

Minimum Qualifications
  • BA + two (2) years of related experience or six (6) years of related experience if substituting experience for education requirement.

  • Ability to relate and work effectively with diverse groups of people, including staff, faculty, students, and the general public.
  • Strong organizational skills; ability to effectively prioritize tasks in a fast-paced environment with constant interruptions.
