Brandeis University seeks to hire a Program Coordinator that will be responsible for directing the efficient operation of the QB Interdepartmental Graduate program and the QBReC undergraduate program under the direction of the QB and QBReC program directors. This position will work independently to oversee day-to-day operations of the QB and QBreC programs. This includes, but is not limited to, assisting the directors with academic or financial issues, managing program budgets, overseeing the undergraduate and graduate academic mission, planning and executing QB and QBReC events, scheduling QBIO courses, managing QB classroom needs, and working with Division- and Dean-level staff to ensure smooth functioning of the QB and QBReC programs. This position requires a high-level thinker and problem solver with the ability to work independently on tasks and collaborate with various stakeholders, including faculty directors and students. 

This is a part time position, 17.5 hours a week.

Job Description:

  • Provide general administrative support for the QB and QBReC programs and manage facilities, space, and lab/classroom issues for the programs. This may include assisting with requests of the program directors and other QB community members, managing program calendars, managing listservs, completing space surveys and equipment inventories, assisting with QB lab equipment orders and up-keep, ordering classroom supplies, overseeing access (swipe/key) to the lab, and overseeing QB program safety protocols.
  • Administer the academic mission of the QB and QBReC programs. These responsibilities include, but are not limited to: processing applications to the programs, overseeing student progress in the programs, supporting the QB/QBReC mentorship program, scheduling QBIO courses, managing QB course enrollments, reviewing and revising the Bulletin, and updating the QB and QBReC websites. Work with the DivSci Graduate Affairs Group on these responsibilities as they pertain to the QB Interdepartmental Graduate program.
  • Oversee all financial aspects of the QB programs, in collaboration with SciFinance. This position monitors 2 university accounts within QB. Financial responsibilities include, but are not limited to: processing reimbursements, managing the accounts, alerting the Directors to any impending financial problems, working with DivSci Personnel and Grad Affairs groups to hire QBReC mentors, processing summer fellowships, and overseeing QB and QBReC purchasing and expenses.
  • Plan and execute events for the QB and QBReC programs, coordinating with other science programs as necessary (e.g. QB co-sponsored seminars/colloquia, graduate orientation, student talks, the annual retreat, the annual QB Workshop, monthly lunches, QBReC student outings, QBReC mentor lunch meetings, and any other events as needed). Work with outside vendors and other on-campus offices to coordinate the logistical needs and ensure the smooth running of events. This includes, but is not limited to: reserving rooms, managing meal and food orders, setting-up events, overseeing the running of events, and cleaning-up events. Interact with faculty, invited speakers, and other guests of the various functions to ensure successful events, including such tasks as coordinating event scheduling, sending invitations and collecting RSVPs, and assisting with travel logistics of invited guests. Process reimbursements and honoraria. Advertise and promote events by maintaining the seminar database, posting flyers, emailing various Division listservs, and publicizing events on blogs, websites, and social media.

Qualifications:

HS/GED, AS or BA preferred. 1-3 years' related work experience
