The Program Coordinator is responsible for supporting the Program Managers and faculty with the preparation, coordination, and administrative support of all programming, including global executive education and enterprise programs.

WHAT YOU WILL DO

  • Assist with program preparation and execution by working closely with a Babson Executive Education (BEE) Program Manager.  Responsibilities include: researching, ordering, and compiling all program materials; preparing program schedules, participant lists, nametags, tent cards, and certificates; assembling program binders when required; and arranging transportation, catering, etc. as needed.
  • Coordinate with faculty on program materials, including assignment sheets, readings and cases, in-class materials and exercises, and virtual simulations; assemble and arrange for delivery of materials to off-site programs.
  • Build and maintain program Learning Management System (LMS) sites to distribute program materials and communicate with clients and participants, before, during and after program.
  • Utilize technology to streamline delivery of program materials. This includes responsibility for database management, online applications, and the LMS site, in order to extract and post program-specific materials.
  • Set-up and break down classrooms; provide in-session classroom support for faculty and participants, including management of audiovisual equipment.
  • Assist with preparation, distribution, and collection of daily and summary evaluations, as well as data entry, filing, and distribution of reports.
  • Work with Program Managers and other BEE team members to create consistency in workflow and program support by maintaining detailed program notes.
  • Develop and maintain cohesive relationships with all parties involved with execution of programs; including, but not limited to: Faculty; Babson Conference Center departments (conference planning/services, dining room, audio-visual staff); campus resources (catering, copy center, media services, bookstore); and outside vendors (copyright permissions, transportation, special events).
  • Provide organizational support in other areas or to other members of BEE during program downtime.
  • Participate in process review and improvement with operations team on ongoing issues related to BEE’s strategies.
  • Pursue professional growth & development opportunities that lead to greater efficiency in delivering programs by incorporating the latest tools, techniques and methods.
  • Assume additional responsibilities as required.

WHAT EDUCATION AND SKILLS YOU WILL NEED

Associate’s Degree

Must have at least 2-3 years of related experience

Must have a highly developed sense of customer service

Must have strong teamwork and communication skills

Must have strong technology skills, including proficiency in Microsoft Office suite (Word, PowerPoint, Excel) and Google suite.

Must have excellent planning and organizational skills, and attention to deadlines

Must have a strong commitment to maintaining consistency and quality of program materials

Ability to manage and prioritize multiple tasks in a fast-paced, highly demanding work environment

Ability to maintain flexibility and positive attitude when dealing with diverse groups, such as managers, team members, faculty, students, clients from diverse backgrounds, departments within Babson College, vendors, etc.

Ability to envision and propose new methods to perform tasks that support ET&A; take thoughtful risks; and accept new and ongoing initiatives, objectives, and solutions to gain sought-after results.

Ability to anticipate and embrace change; demonstrate willingness to achieve, acquire, and utilize new skills and challenging tasks; and is flexible in changing conditions.

Must work independently with minimal direction in order to adhere to strict deadlines

HOW AND WHERE YOU WILL WORK

  • All Babson College faculty and staff authorized to work on campus must be fully vaccinated against COVID-19, including any appropriate boosters .   • Ability to work early mornings, evenings, weekends, and holidays as necessary
  • Some travel may be required
  • Must be able to lift and/or move boxes of supplies/materials (up to 40 lbs.)
  • Must have had a valid, unrestricted U.S. Driver’s License for one year, and maintain throughout employment an insurable (as determined by the College’s insurer’s criteria) or a satisfactory driving record; must successfully complete and pass the College’s vehicle training program within the first 60 days of employment; annual or more frequent review of employee’s driving record based on the College insurer’s criteria; and safety training as required by management.

ADDITIONAL SKILLS YOU MAY HAVE

Bachelor’s Degree preferred

Experience with applications such as Salesforce, Learning Management Systems, Cvent, Canvas, Qualtrics, Zoom and WebEx

Experience working with global groups preferred
