Job Description

The Global Futures Laboratory of Arizona State University is currently looking for a Program Coordinator to support Impact Water – Arizona. Impact Water - Arizona plays a vital role in ASU's Arizona Water Innovation Initiative, fostering community awareness and involvement to tackle water challenges and propel solutions in the state. By collaborating across diverse expertise and resources, the program is sparking knowledge, inspiring engagement, and instigating transformative change for a more secure and resilient water supply.

The Impact Water - Arizona program directly funds projects and supports ASU faculty and staff in implementing engagement activities and developing use-inspired research and tools to address Arizona's water challenges. Spearheaded by the Global Institute of Sustainability and Innovation, the program operates in partnership with the Kyl Center for Water Policy and the Decision Theater.

This role provides support to the Program Managers and Program Director, and involves planning, executing, and overseeing various tasks to ensure the successful completion of projects. The position involves close collaboration with multiple project leads, the AWII team, stakeholders, and the Program Manager and Director. This position also involves teamwork, self-directed, and independent task completion. The Program Coordinator performs additional independent research and tasks as assigned.

$42,017-$57,930 per year; DOE


Essential Duties

Responsibilities for the Program Coordinator include:

  • Assist in the development of project plans, outlining scope, objectives, timelines, deliverables, key stakeholders and communication channels.
  • Oversee the implementation of projects and monitor progress against project milestones and adjust plans as needed. 
  • Monitor project expenses.
  • Facilitate effective communication between team members, stakeholders, and project sponsors.
  • Address any issues or conflicts that may arise during the project.
  • Oversees the evaluation of projects' effectiveness to develop and implement the goals and objectives of the program
  • Supports the Program Manager, the primary liaison with project leads, with the following tasks:
    • Conduct regular check-ins with project leads to monitor progress, deliverables, and milestones.
    • Respond to emails and manage communication with project leads
    • Communicate with project leads regarding budget reports and expense accuracy.
    • Take notes/document meetings
    • Communicate and provide input and feedback to the Program Director
  • Develops rapport and strong working relationships with project leads at ASU. 
  • Supports the team in developing collecting, and analyzing data related to projects.
  • Work in partnership with university departments to provide robust programs are designed and delivered collaboratively.
  • Events & communication planning and execution to support the program.
  • Assists in prioritizing data tasks for supported projects and general research needs to ensure timely data delivery. 
  • Enters data into, reviews, and maintains databases in Airtable 
  • Prepares reports, handouts, and websites for water stakeholders utilizing Microsoft programs like Word, PowerPoint, and Canva.
  • Assists with community assessments, identifying relevant prior research, instruments, new data, or existing data sources as required for projects or activities.
  • Attends seminars, workshops and conferences. 
  • Provides assistance and information to faculty, staff and outside organizations regarding function/program.

Minimum Qualifications

Bachelor's degree in field appropriate to area of assignment AND two years administrative/coordinator program experience; OR, Six years of progressively responsible administrative/coordinator program experience; OR, Any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.

  • Evidence of a background in water resources and an understanding of Arizona’s water issues
  • Demonstrated knowledge with water innovation and impact initiatives 
  • Demonstrated knowledge of academic research environment.
  • Demonstrated knowledge of data collection and analysis methods, techniques, and procedures.
  • Experience working in a diversified environment and maintain effective interpersonal relationships.

Working Environment

  • Climate-controlled office setting subject to extended periods of sitting.
  • Visual acuity and manual dexterity associated with daily use of desktop computer;
  • Ability to clearly communicate to perform essential duties.
  • Expected to be responsive to customers, engaged in work production, resourceful, flexible, and respectful of others.
  • Occasional travel to off-site events, conferences, or workshops, including some weekend and weeknight engagement.
