Job Description

The Faculty Success Hub of the College of Health Solutions is looking for a Program Coordinator to lead a dynamic staff team in the coordination of activities to support the successful recruitment, retention, evaluation, and advancement of approximately 175 interdisciplinary faculty across the college. The position will report to the Manager of Administrative Support Operations and work in close collaboration with the Deans of Faculty Success in the College of Health Solutions.

Essential Duties

  • Leads the coordination/management of a diverse portfolio of projects and events for the Faculty Success Hub.
  • Develops and maintains databases and/or spreadsheets and prepares special and recurring reports containing specialized or sensitive information.
  • Assists with college-level administration of all faculty/academic personnel reviews including, but not limited to, promotion and tenure, probationary review, multi-year renewal, fixed-term promotion, annual evaluation, and sabbatical.
  • Supports the mentoring program identifying mentors and mentees, creating and distributing surveys to facilitate pairing, and developing a database to manage mentee/mentor information, and schedule cohort meetings.
  • Builds and maintains productive working relationships with faculty and staff personnel affiliated with academic personnel issues. 
  • Assists with faculty annual evaluations by scheduling 1:1s, letter tracking and following up, returning signed evaluations and uploading final evaluation and workload agreements in the system.
  • Manages and maintains Workload Agreements Database. 
  • Manages and maintains the college central personnel file system to ensure consistency and accuracy.
  • Monitors or supervises the activities of subordinates; oversees daily operations and coordinates program activities through assigned staff; prioritizes and delegates work activities.
  • Coordinates logistics, scheduling, and communications. Interacts, and maintains liaison with students, faculty, staff, and outside/community agencies in facilitating program objectives.
  • Performs other duties as assigned.

Minimum Qualifications

Bachelor's degree in field appropriate to area of assignment AND two years administrative/coordinator program experience; OR, Six years of progressively responsible administrative/coordinator program experience; OR, Any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.


Desired Qualifications

  • Evidence of effective customer service to diverse populations including faculty, administrators, and/or university staff.
  • Experience coordinating events.
  • Experience in faculty processes to include: promotion and tenure, sabbaticals, leaves, appointments, affiliations, onboarding, and retirements.
  • Experience in coordinating multiple projects to completion/compliance.
  • Experience in maintaining an electronic filing system and emerging technologies to streamline workflows.
  • Demonstrated working knowledge of PeopleSoft, Interfolio, Qualtrics, Microsoft Office applications especially Outlook and Excel, and Adobe Acrobat.
  • Experience working with project management methodology and tools. (Trello, Monday.com, etc.)
  • Superb communication, decision-making, and time-management skills.
  • Supervisory experience. 
  • Experience in the application of University policies and procedures.

Working Environment

  • Supervise staff.
  • Activities are performed in an environmentally controlled office setting.
  • Required to stand for varying lengths of time and walk moderate distances to perform work.
  • Ability to clearly communicate verbally, read, write, see and hear.
  • Use office equipment, i.e. printers, copiers, fax machines, telephones, calculator.
  • Regular activities require ability to quickly change priorities, may include/subject to resolution of conflicts.
  • Use of software/computer equipment for extended periods of time.
  • Frequent bending, reaching, lifting, pushing and pulling up to 20 pounds
