Work Schedule

The work schedule varies based on student programing. Typical work hours are Monday-Friday, 10am-7pm; then one week per month Tuesday-Wednesday, 10am-7pm, Thursday 12-7, Friday 11a-9pm & Saturday 8am-6pm.

Anticipated Hiring Range

$4,300.00 - $4,800.00 Per Month ($51,600.00 - $57,600.00 Annually)

Salary is commensurate with experience.

Position Summary

The Program Coordinator is responsible for supporting recruitment, admissions, enrollment, engagement, operations, and student services.  This position will perform various functions such as analysis, design, implementation, overseeing the process of communication, helping converting admitted students, creating professional development opportunities, and evaluating various administrative systems in support of the MBA (both state-funded and self-support), MSBA, MSA, and all graduate business certificate programs. 

The work location will be at San Francisco State University’s Downtown Campus (160 Spear Street, San Francisco, CA 94105).

Position Information

The Coordinator will also serve as a contact for all Graduate Business Degree and Certificate Programs and the primary contact for the MBA (Self-Support) program. This will include, but will not be limited to working directly with applicants, students, faculty, directors, staff, relevant university departments and various external parties. Work requires coordination with individuals at all levels within the University. As needed, the Program Coordinator acts as a representative to outside entities. As required, the Program Coordinator oversees day-to-day program and/or work unit operations; leads work direction of administrative staff (including any student staff). 

Recruitment and Admissions for all Graduate Business Programs (both degree and certificate programs)

  • Assist Directors with Admissions conversion activities and implementation of academic programs
  • Create and send correspondences regarding first semester planning & curriculum information to all new incoming students.
  • Respond to all MBA, MSA, MSBA and graduate certificates inquiries
  • Coordinate and lead Advising sessions each semester for admitted students.
  • Plan and coordinate orientation days for incoming students every semester including coordination of breakout sessions, professional development workshops, faculty sessions, as well as plan catering and ordering promo items.
  • Create and review student surveys every semester to gauge success of orientation and workshops.
  • Coordinate and review business course waivers for newly admitted students by communicating with faculty.
  • Edit admissions content on website to provide relevant information to students.
  • Work with GBP staff to compile data for publication surveys and program assessment
  • Enter and maintain data in Salesforce, WebAdmit and Campus Solutions and other databases as needed
  • Assist with admissions decisions and interviews as needed.
  • Assist with Marketing and Outreach for program
  • Coordinate information sessions and webinars
  • Coordinate class visits for prospects
  • Follow up with all applicants via phone and email
  • Process applications and enter decisions in student CS for admissions
  • Schedule admissions interviews and coordinate admission essay exams
  • Respond to all Graduate Business Programs inquiries
  • Communicate relevant information to admitted students to enroll in the program
  • Assist faculty in enrolling conditionally admitted students into any online course prerequisites
  • Review GBP website and brochures to keep information up to date
  • Liaise with Graduate Division

Events, Professional Development and Student Services for all Graduate Business Programs (both degree and certificate programs)

  • Organize and implement the Graduate Business Programs events, professional development, and student services for MBA, MSA, MSBA and graduate certificate programs
  • Organize, coordinate, communicate, student events such as orientation and celebration
  • Review and implement changes and improvements to program as needed
  • Manage consultants’ scope of services, contracts, pay and workshop topics
  • Promote offerings via website and announcements to students
  • Coordinate scheduling and set-up for workshops, speaker events, and the like.
  • Coordinate with College of Extended Learning on class logistics
  • Connect with MBA students and alumni for program events or receptions
  • Coordinate planning and implementing the student orientation every semester
  • Support students and faculty on class meeting days
  • May advise students on class and other university policies
  • Coordinate speaker series and other EMBA functions
  • Coordinate hospitality
  • Coordinate food and classroom setup and take-down
  • Order course materials for faculty as needed

Other Responsibilities

  • Attend all planning meetings related to admissions, recruitment, enrollment, engagement, professional development, graduation, and others.
  • Assist with strategic planning and program initiatives as needed.
  • Support College events when necessary.
  • Other duties in support of LFCoB programming activities.

Minimum Qualifications

  • Bachelor's degree and/or equivalent training and administrative work experience involving evaluation leading to the development of improvement of administrative policies, procedures, practices, or programs.
  • Ability to learn, interpret, and apply a wide variety of policies and procedures relating to and impacting the applicable program, organizational unit, and/or administrative specialty.
  • Ability to make independent decisions and exercise sound judgment.
  • Knowledge of basic methods and procedures for research and statistical analysis and the ability to apply them.
  • Ability to analyze data and make accurate projections using business mathematics and basic statistical techniques.
  • Ability to organize and plan work and projects including handling and managing multiple priorities.
  • Ability to compile, write, and present reports related to program.
  • Demonstrated ability to establish and maintain effective working relationships within and outside the workgroup and serve as a liaison for the organizational unit.

Preferred Qualifications

  • Master's degree and/or equivalent training and administrative work experience.
  • 5+ years of professional business work experience, preferably in an educational or commercial setting
  • Reliability and punctuality are essential
  • Comprehensive and detailed knowledge of the university infrastructure, policies, and procedures.
  • Knowledge of admissions and student services processes in an educational setting
  • Ability to comprehend and handle technical tasks associated with admissions processes
  • Thorough mastery of English grammar, punctuation, and spelling.
  • Ability to use negotiation and persuasion skills to achieve results and expedite projects.
  • Detail oriented and organized
  • Ability to troubleshoot most office administration problems and respond to all inquiries and requests related to work area.
  • Ability to analyze problems and develop, recommend and evaluate proposed solutions while anticipating the impact of office administration problems and solutions on other areas.
  • Ability to professionally and effectively handle interpersonal interactions at all levels, internal and external, and handle highly sensitive situations.
  • Ability to train others on new skills and procedures and provide lead work direction
  • Possess demonstrated teamwork skills
  • Expertise in using office software packages, technology, and systems. Knowledge of Microsoft Word, Excel and Power point and working knowledge of client-based databases such as PeopleSoft CS, Salesforce, or CRM instrument
