Job Summary:

The University of San Francisco seeks a highly motivated, teamwork-driven, flexible candidate who thrives in a dynamic culture to serve as a Program Assistant for the Prospect Development & Analytics (PD&A) team. Under the supervision of the Director, the Program Assistant (PA) will provide both Prospect Management and Prospect Research support to the team as well as provide administrative support to the Director with operational and programmatic tasks including department budgeting, subscription management and department scheduling.
Ideal candidates will have proficiency in the areas of development fundraising, database maintenance, communications, budget tracking, and excellent customer service. Additionally, this candidate should possess initiative, independent judgment and good decision-making to efficiently plan, prioritize, and organize a diverse workload.
This role would introduce the candidate to Prospect Development in higher education by providing training in both Prospect Research and Prospect Management systems, enabling the candidate to pivot easily between teams and assist with requests and project support. This role would be trained extensively in Salesforce Affinaquest (AQ), USF Development’s CRM of record, and will develop reporting skills, assist with data audits, provide event research support, serve as team lead for bulk upload entry into the CRM, and learn from experienced professionals about Prospect Development at USF.
The ideal candidate will possess strong project management, organizational, technology, database, and research skills and have the ability to evaluate and compile information.

Full Job Description:

JOB RESPONSIBILITIES:

  • Independently arranges and coordinates events, meetings and activities for the PD&A unit within Development.
  • Assist in the gathering of prospect information to highlight for event briefings, including basic prospect research and biographic data entry. 
  • Assist in the collection and distribution of USF event research to the Division.
  • Work closely with Prospect Management and Prospect Research in the development and oversight of each team’s data audit calendars. 
  • Assign and manage tasks to members of the PD&A Team for research and prospecting. 
  • Continually develop coding structure with Prospect Research team and review records for philanthropic interests in order to improve area-specific fundraising to support campaign initiatives.
  • Provide data entry support on gift officer portfolios with Prospect Management team. 
  • Oversee the bulk upload process into AQ with the Director, PD&A.
  • Review weekly activity reports for relationship mapping, philanthropic interest coding, and for assigning tasks to Prospect Management and Prospect Research teams.

ADDITIONAL RESPONSIBILITIES:

Prospect Research Support (40%)

  • Supports the Prospect Research team with the collection and distribution of event research to the Division as needed. 
  • Pulls daily gift reports and assigns tasks to the Prospect Research team; prepares data for screening projects.  
  • Daily review of research for Interest coding. Contributes to the creation of and management of coding structures in AQ.
  • Assists Assistant Director, Prospect Research with wealth screenings of USF constituents.
  • Update constituent biographic data in AQ

Prospect Management Support (40%)

  • Work closely with Prospect Management Specialist by providing support for portfolio review meetings by assisting with portfolio hygiene projects like auditing data that supports prospect pipelines and ensuring that prospect management data is up-to-date.
  • Proactively identify and analyze individual and institutional prospects in support of Advancement goals.
  • Support the Assistant Director of Prospect Management and the Prospect Management Specialist with accurate and timely reporting of fundraising activity and metrics, by month, quarter, and year as needed.
  • Provide assistance and support with special projects and activities related to fundraising. 

Director Support (20%)

  • Assist with scheduling for department-wide training sessions, meetings and events.
  • Oversight of department subscriptions and renewals - including expense report submissions for department subscriptions. Will be responsible for processing vendor statements and invoices with the Office Manager. 
  • Assist with developing and creating a suite of actionable reports for gift officers during the onboarding process. 
  • Assist with development and maintenance of the PD&A SOP manual.
  • In partnership with the Director, PD&A, ensure that quarterly version updates are integrated with the Prospect Management Policy.

MINIMUM REQUIREMENTS:

  • Training or experience equivalent to five years of increasingly responsible work experience in a senior support role or related education.
  • Post-high school education is preferred.
  • Excellent oral and written communication skills.
  • Team oriented with a strong desire to collaborate but also capable of working independently on projects with limited supervision.
  • Demonstrated attention to detail including exceptional deadline and project management skills and internal client management.
  • Experience (or related experience) with overseeing a budget.
  • Comfortable with autonomy, change, and shifting priorities.
  • Experience working with computer database systems and word processing.
  • Strong working knowledge of Excel and Google Suite Workspace preferred

The rate for this role is $30.77/hour.
