PROGRAM ASSISTANT - UW COVID-19 RESPONSE- (FIXED DURATION/TEMPORARY)

The UW Hall Health Center has outstanding opportunities open for Temporary Program Assistants (Full time, Day Shifts).

The Program Assistant will coordinate and provide student support services for the COVID-19-related vaccination and testing program for UW students and personnel. The position will process vaccination-verification submissions, manage exemption requests, track weekly testing for the unvaccinated, coordinate care with other UW COVID-related programs and projects, respond to student and staff questions, and maintain confidentiality. Partial remote work may be an option if cleared by Risk Management, given the sensitivity of information.

DUTIES:

Verification & Tracking Software

• Verify accuracy of student and personnel accounts, attach correct attestations to the correct accounts
• Use View, Edit, Accept, Reject (with and without notes), Void, and other functions in the verification work flow.
• Download and move submissions between systems
• Properly document notes and/or comments
• Complete verification, exemption requests, tracking of weekly testing, and other workflows per specific guidelines
• Locate submissions and downloads using work-queue lists
• Transcribe any additional/necessary information

Computer & Telephone

• Exercise professional written and verbal communication
• Efficiently handle electronic documents, such as attachments
• Navigate between different record keeping systems and files
• Apply appropriate work-queue management (i.e., the ability to control time spent per screening)
• Proficiently make conference calls, use technology for meetings and communication
• Respond to student inquiries related to the vaccination and testing programs and verification processes (email, phone, other)

General Tasks

• Demonstrate knowledge of workflows, safety requirements, and how to access necessary information online
• Complete tasks as assigned by lead, supervisor, or managers in a professional and efficient manner
• Maintain department productivity and efficiency goals
• Effectively manage and prioritize tasks
• Assist with the recruitment and training of new team members and act as a “go to” team resource
• Maintain confidentiality of all clients’ personal information
• Participate in process-improvement projects, such as facilitating workgroup efforts to identify and increase daily verifications, exemptions, and test results
• Assist with the development of program materials
• Under supervision, communicate with project manager and other staff
• Provide users with access or additional information when asked
• Think critically and troubleshoot errors for the team
• Develop and maintain good working relationships
• Participate in necessary meetings
• Maintain a clean, organized, and professional work area
• Perform related duties as required

MINIMUM QUALIFICATIONS:

• High school graduation or equivalent AND Two years of full-time clerical experience OR Equivalent education/experience
• Quick learner of new software systems

DESIRED QUALIFICATIONS:

Demonstrated ability to organize and prioritize a high volume of work with attention to detail.
PC experience w proficient typing skills.
Knowledge of medical terminology.
