The Division of Medical Genetics is looking for a Program Assistant for our new Genetic Counseling Graduate Program that started in the fall of 2021.

RESPONSIBILITIES

Recruiting/Admissions:
• Triage email/phone inquiries from prospective students, including responding to routine inquiries and escalating non-routine inquiries to appropriate person
• Represent program at recruiting events (virtual and in-person (post-COVID)
• Assist with admissions process, including but not limited to:
o Review applications for completeness
o Verify prerequisites
o Redact applications in support of diversity, anti-racism, and equity (DARE) goals
o Assist with scheduling and logistics for interviews
o Provide support to applicants, reviewers, interviewers, admissions committee

Program support:
• Respond to routine student & faculty inquiries; escalate non-routine inquiries as appropriate
• Coordinate course scheduling with Continuum College
• Assist with planning and coordination of meetings and events including committee meetings, new student orientations
• Collaborate with program leadership in creating and implementing efficient and effective processes for new graduate program
• Assist Director of Fieldwork Education with coordination and scheduling of student rotations

Administrative support to program leadership:
• Assist with tasks including but not limited to:
o Scheduling meetings
o Creating agendas and taking minutes
o Ordering supplies
• Assist with record keeping and documentation for accreditation and program assessment
• Other duties as assigned

Marketing and social media:
• Manage the program’s social media accounts with guidance from social media committee
• Manage the program’s website with guidance from program leadership, DARE committee

MINIMUM REQUIREMENTS
• High School Graduation or equivalent
• Two years of full-time clerical experience
• Demonstrated commitment to diversity, anti-racism, and equity
• Good organization and time management skills
• Good verbal and written communication
• Familiarity with Microsoft Office suite and other web-based systems

Equivalent education and/or experience may substitute for minimum requirements.

DESIRED REQUIREMENTS
• Experience working in graduate and/or health professions education
• Experience with UW systems such as MyGradProgram, SDB, Ariba
