What we want

Our College is seeking a Program Assistant who will provide standard program support for the Glasscock Center for Humanities Research, with the purpose of making humanities research possible for faculty and students. This Program Assistant (also known as PA 7) will directly assist students and faculty by coordinating activities that incubate and support interdisciplinary humanities research (for instance a recent X-grant). Furthermore, the PA7 will assist in the administration of grants and awards that lead directly or indirectly to prestigious external fellowships. The successful candidate will have preferred administration and or coordination experience, be able to demonstrate strong communications skills and interpersonal skills, be able to work in a team environment while entrusted to complete individual projects. Required Education:

  • Bachelor’s degree or equivalent combination of education and experience. 

Required Knowledge, Skills, and Abilities:

  • Knowledge of word processing and spreadsheet applications. 

  • Verbal and written communication skills. 

  • Ability to work with diverse groups of people and be helpful, respectful, approachable, and team oriented. 

  • Ability to build strong working relationships and a positive work environment. 

  • Ability to multitask and work cooperatively with others.

Preferred Experience:

  • Two years of program administration and/or coordination experience.

Responsibilities:

  • Office Management - Provides front desk coverage, which includes answering phones, making copies, fielding email inquiries, welcoming visitors, etc. Provides administrative support to Director and Associate Director. Serves as Center’s first point of contact and coordinates responses to requests for information as appropriate. Assists in resolving complex, highly sensitive and confidential administrative matters. Applies, interprets, and communications University policies and procedures and serves as a resource.

  • Program Support - Assists the Program Coordinator in coordinating logistics and travel for GCHR events to include, but not limited to conferences, seminars, lectures, workshops, meetings, and other special functions including onsite support (occasionally after hours or on weekends). Develops travel itineraries for GCHR guest speakers. Provides assistance in the coordination of GCHR’s various programs, e.g., the Working Groups program, Undergraduate Summer Scholars program, weekly faculty, graduate, or ACES Fellows Colloquia, etc. Maintains GCHR’s event spaces. Provides support for GCHR event set-up and take-down. Assists with website content updates and promotional efforts. Assists in maintaining the Room Reservations calendar. Assists with Advisory Committee meetings and materials. Works with Program Coordinator and Director to develop Advisory Committee meeting agendas, process grant application materials, orders lunches, etc. Prepares program correspondence, including but not limited to: award notification letters, Advisory Committee term letters, etc. Assists the Program Coordinator as a liaison for grant and award applicants. Creates, establishes, and maintains program files, databases, correspondence, and program materials, including but not limited to: the master list of grant recipients; departmental contact lists; Working Group convenors list; grant report spreadsheets; annual report content documents; archives of materials; etc.

  • Business Support - Assists the Business Administrator with processing reimbursements. Purchases program materials and supplies. Maintains the departmental payment card and prepares payment card allocation reports. Liaises with Business Administrator and Program Coordinator on grant budgets.

  • Performs other duties as assigned.
