Position Description

The Program Assistant Sr. in the Neurology Education Office performs as a highly involved coordinator for the required third year Neurology Clerkship course at the University of Louisville School of Medicine. This individual is a vital and integral part of the daily operations of the Neurology Education Office, as this individual schedules 165+ third year medical students per year.

Essential Duties and Responsibilities

  • Coordinate all aspects of Neurology Clerkship Program
  • Work closely with Neurology Clerkship Director to manage clerkship tasks and timelines to ensure all deadlines are met with UofL Medical Student Affairs and Undergraduate Medical Education
  • Prepare 3rd year Neurology Clerkship documents such as syllabi, annual clerkship statistics reports, orientation material, annual & monthly schedules & assignments
  • Handle all clerkship related questions
  •  Maintains all 3rd year Neurology Clerkship files for 165+ per year; Presents monthly orientation session with class of new 3rd year Neurology students (15)
  • New Innovations & RedMed maintenance for all MS-3 Neurology Clerkship correspondence
  • Make sure students complete all patient logs and duty hours
  • Collecting mandatory clerkship forms from students for process and submission to SOM
  • Maintain neurological equipment for students to use during rotation
  • Submitting requests for students' evaluation and follow up with preceptors to complete evaluations
  • Compiling NBME shelf score reports to be uploaded on RedMed for students' viewing, grading and calculating students' grades, creating students' grade sheets and comments reports for UME and Student Affairs
  • Clerkship tasks such as exam ordering & proctoring, file collection
  • Collaborates with Neurology Clerkship Director & Dire ctors of the Standardized Patient Lab & Simulation Center to schedule training & exam sessions
  • Communicates with UofL Trover (Madisonville) Campus regarding MS-3 Neurology students to ensure that students understand clerkship requirements, policies, and responsibilities
  • Coordinate with students and UME/Student Affairs staff on students' requests and change of schedules/track and to update students' schedules as needed
  • Assist with annual resident recruitment (room set-up, food set-up/clean)
  • Basic office duties: answer phones, take messages, copy, scan, fax Assist the Coordinator and Program Assistant Sr. with miscellaneous tasks, within realm of education related responsibilities if needed.
