Who we are
In May of 1991, former President George H.W. Bush elected to make Texas A&M University home to his Presidential Library. The site of the George Bush Presidential Library Complex, which houses the George H.W. Bush Presidential Library and Museum, the Walter and Leonore Annenberg Presidential Conference Center, and the Bush School of Government and Public Service, consists of ninety acres on the West Campus of Texas A&M University. The conference center houses two auditoriums, three banquet spaces, the Political Science and Economics Library, the Bush School of Government and Public Service's Extended Education offices, and the George Bush Presidential Library Foundation offices. In March of 2003, the George Bush Presidential Conference Center was renamed the Walter and Leonore Annenberg Presidential Conference Center.
What we want
The Program Assistant is the Event Assistant of the Presidential Conference Center and assumes management responsibility of Presidential Conference Center services and activities prior to and during events. This position also assists with the coordination of the work plans as directed by needs of clients and corresponds and provides operational support to the Manager and the Director. The ideal candidate will be customer service focused with a passion for planning events coordination and logistics. Hourly pay rate : $15.00

Required Education and Experience:
- Bachelor's degree or equivalent combination of education and experience
Required Knowledge, Skills, and Abilities:
- Excellent oral and written communication skills
- Ability to use spreadsheet, and database programs
- Ability to multi-task and work cooperatively with others
Other Requirements or Other Factors
- Schedule will vary based on event needs; evenings and weekends included
- Customer service oriented
- Ability to lift, move, or handle heavy objects
- May require bending, stooping, and climbing
- Must have a friendly and professional attitude when interacting with clients and guests
Preferred Education and Experience:
- Bachelor’s degree in Arts Management, Facility Management, Business Administration, Hotel/Hospitality Management, or related field
- Two years of experience in Event Planning or Event Coordination/Logistics
Preferred Knowledge, Skills, and Abilities:
- Knowledge and operation of audio/visual equipment
Responsibilities:
- Assists in responding to and resolving issues. Ensures that the facilities are maintained in a safe and clean environment. Ensures that facility and audio/visual set-ups are completed accurately and on time. Complies with all Annenberg Presidential Conference Center safety regulations and ensures support staff complies during events.
- Is the Event Assistant of the Presidential Conference Center. Assumes management responsibility of Presidential Conference Center services and activities prior to and during events.
- Participates in negotiations and contract preparation. Assists with directing and monitoring the activities of catering, security, and parking.
- Assists with the coordination of the work plans as directed by needs of clients. Corresponds and provides operational support to the Manager and the Director.
- Assists in the coordination facility events. Assists in coordinating logistics for program seminars, workshops, lectures, and other special events.
- Serves as a first point of contact for assigned events. Establishes and maintains event files. Participates in pre-planning meetings with clients.
- Ensures all setups for assigned events are set according to the diagram(s). Ensures all tables, chairs, audiovisual equipment, etc. are set according to PCC standards. Ensures event tear-down procedures and equipment care are followed per PCC standards. Attends weekly event staff meetings. Trains student technicians and student interns.
- Interacts with clients and guests in a friendly and professional manner. Upholds a positive work environment with managers and fellow employees. Openly communicates with clients and staff in regard to timing or other necessary changes to an event.
- Serves as the manager on duty during events.
- Assists in the marketing of a premier conference and performance package for facility users of the Annenberg Presidential Conference Center and may perform other duties as assigned.
