The Program Assistant P7 assists with the development of proposals, coordinates research projects, and acquires resources and supplies to various research projects ongoing in the program. Plans and oversees various project activities to ensure that the goals are met in a timely fashion. This also include assisting with various paperwork necessary for personnel, handles email/phone communications delegated by the organization, verifies and submits receipts, arranges logistics for visitors, organizes group meetings, and provides day-to-day administrative support as required by the program.The selected candidate will subscribe to and support our commitment to Inclusion, Diversity, Equity and Accountability (IDEA) as stated above. Required Education and Experience:

  • Bachelor's degree or equivalent combination of education and experience

Required Knowledge, Skills and Abilities:

  • Working knowledge of spreadsheet, database, presentation and word processing software programs
  • Interpersonal and communications skills
  • Ability to plan and organize effectively
  • Ability to multi-task and work cooperatively with others

Preferred Education and Experience:

  • Prior experience working in an academic/research environment

Responsibilities:

  • Marketing - Serves as a point of contact for program information and coordinates responses to requests for program information. Assists with University brand guidance, outreach, and  marketing. Coordinates with and advises Marketing and Communications with the management of projects, and provides oversight. Evaluates submissions, helps develop content, coordinates material, and ensures overall compliance with publishing style guidelines for the program.
  • Facility Oversight - Assists with oversight of day-to-day operations of the facility, including upkeep and maintenance of facility-related systems as necessary, and assisting in the preparation of required work orders for facility-related issues. Assists with building access and security on-boarding, ensuring facility requirements are met. Serves as a contact for after-hours building emergencies.
  • Operations - Assists with scheduling and coordination of lab, vivarium, and office spaces. Arranges distribution/transportation of various equipment and supplies for facility operation. Maintains inventory and assists with billing activities and cost accounting. Assists with the development of proposals, coordinates research projects, and acquires resources and supplies to various research projects ongoing in the program. Plans and oversees various project activities to ensure that the goals are met in a timely fashion.
  • Maintain File & Data - Creates, establishes, and maintains program files, databases, correspondence and program materials. Maintains equipment and building access databases and facility’s study/data files to ensure overall compliance. Assists with various paperwork necessary for personnel, handles email/phone communications delegated by the organization, verifies and submits receipts, arranges logistics for visitors, organizes group meetings, and provides day-to-day administrative support as required by the program.
  • Performs other duties as assigned.
