Job Purpose
The Program Assistant is the first point of contact for students, staff, parents and community partners who are accessing Wellbeing and Flourishing services. The role requires discretion and critical thinking skills to manage sensitive situations and complex incidents. The Program Assistant supervises student staff members and provides administrative support for up to 5 full-time professional staff. The Program Assistant plays a vital role in building and supporting members of the Wellbeing and Flourishing team and creating a mission-based environment that values collaboration, teamwork, well-being, and is responsive to an increasingly more diverse generation of Gonzaga students whose needs are evolving.
The budgeted annual salary range that the University reasonably expects to offer for this position is $39,520 – $43,680 annually. The internal full salary range is $38,389 – $51,937.

Function Details
  • Provides administrative support for department, including but not limited to: maintaining calendars; scheduling meetings and appointments; assisting with e-mail correspondence; and managing incoming/outgoing department mailbox.
  • Arranges and assists in the preparation/organization of meetings, including providing administrative support and follow-up on matters arising from meetings.
  • Serves as the primary point of administrative contact for internal/external constituencies and students, often concerning complex/confidential issues and concerns, and is responsible for prioritizing questions and concerns, and making referrals to the appropriate staff person or office both in person and electronically.
  • Manages incoming inquiries using professional, courteous, and knowledgeable use of systems while demonstrating the ability to appropriately triage incidents and inquiries.
  • Creates general systems of organization for the overall area, including ordering and maintaining office supplies, and office procedures for opening/closing.
  • Performs complex word processing tasks such as creating documents or reports, integrating text and graphics, generating forms, brochures and flyers and producing/updating Excel spreadsheets.
  • Creates and manages databases and tracking tools for budgets, programmatic statistics/evaluation, data collection and outcome.
  • Makes travel arrangements and coordinates itineraries for professional travel.

  • Maintains and monitors operational budgets for numerous accounts, including managing the day-to-day operations including budget transfers, expense reports, funds advances, purchase orders, reimbursements, corporate card statements, etc.
  • Utilizes SIS Banner to provide budget information, prepare reports and reconcile budgets with the Controller’s office.

  • Assists in distribution of surveys and/or assessment tools, including campus wide surveys.

  • Proofreads materials, making corrections for sentence structure, spelling, grammar, and punctuation.
  • Creates, composes, and edits technical and administrative correspondence and documentation.
  • Assists in the coordination, supervision, and completion of special projects, events or presentations.
