Position Summary
Located at the reception of the Elon University Isabella Cannon Global Education Center (GEC), a high-volume, dynamic hub for global programming, the Program Assistant manages and overseas front desk staff, including a team of 5 to 10 student workers; is responsible for space management for the unit; and provides administrative support.

Minimum Required Education and Experience
High school diploma or GED with minimum 1 year of experience
Preferred Education and Experience
Bachelor's degree in in relevant field of study
Job Duties

  • Administrative Assistance:
    • Serve as the administrative assistant to the Dean of Global Education.
    • Schedule meetings and agendas and prepare materials and gifts for campus visitors.
    • Provide support to help with staff morale and to recognize birthdays and condolences. Support for meetings and events with calendar invites, room reservation, catering.
    • Schedule and organize the agenda for GEC bi-weekly staff meetings.
    • Oversee RACI/comprehensive calendar maintenance. Working closely with the Dean and other staff to provide support for GEC events, including organizing dinners, panel discussions, and others as assigned.
  • Oversight of Global Education Front Desk and visitor space:
    • Responsible for ensuring the GEC reception is staffed during open office hours by Program Assistant or assigned student workers.
    • Assist with hiring, training, and supervising 5-10 student workers within the GEC who are expected to support the receptionist area, office administrative tasks and other duties as assigned by departmental staff.
    • Create and implement systems that improve efficiency and help create a sense of welcome to all GEC visitors.
    • Support the professional development of student workers.
    • Coordinate student worker support for GEC staff.
  • Space Management:
    • Maintain and keep organized office spaces, including the workroom, kitchen, and public spaces.
    • Order and maintain sufficient levels of supplies, including office supplies, student giveaways, and gifts.
    • Serve as the point of contact for computers in the GEC.
    • Monitor and place orders for physical space repairs, e.g. lights that need replaced, equipment that needs to be fixed, HVAC concerns, cleaning requests.
  • Other duties as assigned.
