Job Summary

The Harvard Immigration and Refugee Clinical Program (HIRCP) advocates for immigrant justice through clinical education, legal representation, litigation, and community outreach. Reporting to the Managing Attorney and Director, the Program Administrator administers the activities, policies and procedures of HIRCP and assists with day-to-day HIRCP needs. 

Job-Specific Responsibilities

As a Program Administrator, you will:  

  • Provide administrative supervision, guidance, and assistance to all HIRCP staff, students, interns, interpreters through the Language Access Program, and/or volunteers, including with the Immigration and Refugee Advocacy Clinic, Crimmigration Clinic, Harvard Representation Initiative, and HLS Immigration Project on program policies, practices and procedures.  

  • Provide and/or coordinate trainings for students, including on case management systems, case opening and closing, case tracking, intakes, and working with interpreters.  

  • Manage day-to-day operations of HIRCP, including ordering and maintaining office supplies and space, case openings and closings, making appropriate referrals, and providing statistical reports on cases and clients served. 

  • Develop, update, and maintain program policies and processes, including working with Program students and staff to maintain up-to-date and organized electronic and physical case files and systems.  

  • Handle all financial transactions for HIRCP, including payments and reimbursements, as well as development and oversight of financial data, including the annual budget and resource allocation. 

  • Serve as principal administrative contact and liaison for internal HLS departments and external vendors and constituencies, including triaging inquiries to clinics. 

  • Coordinate, plan, and execute HIRCP events in collaboration with HLS Immigration Project student leaders and other student groups. 

Basic Qualifications

Five or more years of related experience. Education beyond high school may count toward experience.

  • Excellent organizational skills with particular ability to prioritize work in an environment with multiple and conflicting interests.  

  • Excellent interpersonal and communication skills.  

  • Ability to work independently with minimal supervision.  

  • Proven ability to deal with confidential and sensitive material/information in a professional manner and to handle information with discretion, sound judgment and attention to detail. 

  • Foreign language skills, particularly Spanish, are a plus. 

  • Prior experience working in a legal setting and with clients and students preferred.
