Performs accounting duties of a complex nature requiring advanced professional experience, knowledge, and competency in accounting principles and practices. Works with broad discretion as to work details on assignments of a difficult nature. Oversees all activities associated with the outflow of funds, including but not limited to: purchasing, accounts payable, contracts, pro-card, and expense reports.

  • Develops and maintain unit-level processes to align with University requirements for accounting processes and policies with a particular focus on outflow transactions and maintenance of unit level schedules to track and research any outflowing transactions and activities.
  • Participates, assists, and prepares all financial reconciliations, reporting, audits, budget preparation, and end-period and year processes and procedures. Assist with any preparations and materials needed for audit purposes.
  • Prepares and maintains accounting spreadsheets and financial reports for successful tracking of budget expenditures for the Wolfsonian.
  • Serves as liaison between museum business office and FIU's  different Departments for purchasing and accounts payable (Controllers, Purchasing, Foundation, etc.).
  • Serves as primary trainer and customer service representative to all departmental   staff related to requisitions, purchasing and contracts. Ensures customer satisfaction for internal and external customers.
  • Obtains vendor information and backup documentation for grant funded major projects moved to business office, including reviewing grant budgets to verify funds are available in grant budget to proceed with requisition. Computes any changes needed for grant modification for requisitions.
  • Verifies accounts payable posting monthly, including balancing of FIU accruals of unpaid invoices and expense reports. Tracks and manages all open Purchase orders for year end closing.
  • Serves as secondary approver of all departmental commodity card transactions in the system. Ensures that proper documentation and approvals are available to support all transactions.
  • Prepares contracts, contract intake forms, purchase order requisitions and purchase orders. Assists internal and  external constituents all matters related to purchasing and payment. Including tracking of deadlines for payables, receivables, rent, insurance, grants, etc. Coordinate approval from FIU's Taxation department to process purchase orders for foreign vendors.
  • Bachelor's degree in Accounting and four (4) years of directly-related experience or Master's degree in Accounting and two (2) years of directly-related experience.
  • Knowledge of Peoplesoft.
  • Knowledge of Microsoft Office Suite (Excel, Word, PowerPoint).
