This position is for a highly motivated Production Coordinator who will work with HHMI’s Educational Media Group based at HHMI headquarters in Chevy Chase, MD.  The Production Coordinator will work with the production team to oversee aspects of the workflow processes, such as: production and permission logs for resources published on the Biointeractive website; manage project calendars; track benchmarks; prepare, schedule, and track English content for Spanish translation; and support the work of content developers from idea to publication.
This is a time-limited position for one year.

Essential Duties and Responsibilities:

  • Help streamline development processes and workflows.

  • Monitor the editorial/publishing process, including organizing meetings, gathering and analyzing information, corresponding with vendors and collaborators, and keeping projects on schedule.

  • Manage the completion of pre-publication documents for both English and Spanish BioInteractive resources, including a project summary, production and permissions logs, accessibility verification, etc. 

  • Monitor and track projects in development, including translations, using a project management system.

  • Review each project as it is completed to ensure it adheres to publication guidelines (per provided checklists), including accessibility requirements.

  • Assist with resource accessibility updates and compliance.

  • Track deliverables from developers and other vendors and communicate with editorial content leads.

  • Code invoices from developers and other vendors with the appropriate cost center.

  • Prepare documents to be translated from English to Spanish, including communicating with editors and translators.

In addition to the duties specifically identified by this job description, the position will include other duties if and as assigned.

Qualifications

Experience:

  • At least 3-5 years in production management of film, publications, websites, or media projects.

  • Navigating production releases and license agreements.

  • Completing production and permission logs.

  • Tracking expenses.

  • Working inMicrosoft Office and Google Suite.

  • Working with project tracking software such as Trello.

  • Familiarity with accessibility compliance (WCAG ).

  • Formatting/tagging documents for accessibility is a plus.

  • Data entry in an online platform a plus.

Skills and Abilities:

  • Excellent communication skills.

  • Strong project management skills.

  • Ability to work on multiple projects and with many different individuals at once.

  • Strong attention to detail.

  • Bi-lingual in English and Spanish preferred, but not required.

Physical Requirements:

Remaining in a normal seated or standing position for extended periods of time; reaching and grasping by extending hand(s) or arm(s); dexterity to manipulate objects with fingers, for example using a keyboard; communication skills using the spoken word; ability to see and hear within normal parameters; ability to move about workspace. The position requires mobility, including the ability to move materials weighing up to several pounds (such as a laptop computer or tablet).
