JOB DESCRIPTION AND POSITION REQUIREMENTS:

The Pennsylvania State University, specifically the HUB-Robeson Center department under Student Affairs , seeks a Production and Events Coordinator to join a staff that coordinates events at the university’s Student Affairs facilities. The Production and Events Coordinator will work under the supervision of the Business Services Supervisor in coordinating the effective delivery of services and meeting the immediate event and production needs of customers, artists, and presenters who use audio-visual services. Operation of equipment in these same areas during events may also be required. Duties may include setting up and directing the setup of audio, video, and lighting systems during load-in and load-out of events. This position also provides technical support and consultation to other staff within the HUB-Robeson Center department. The Production and Events Coordinator will attend pre-production meetings and provide advancement support for assigned events. The Production and Events Coordinator will assist with inventory and maintenance of production equipment and audio-visual systems in the HUB-Robeson Center, as well as assist the Technical Directors in both the HUB-Robeson Center and Schwab Auditorium when needed.  

Responsibilities Include:

  • Oversee the safe and proper use of the HUB-Robeson Center event spaces and other areas that fall within this department. Serve as the on-site manager in charge during major events and productions. Oversee the set-up and operation of lighting, sound, audio/visual, and stage equipment required for event spaces primarily held in the HUB-Robeson Center. Ensure that all production equipment and materials are returned to appropriate areas after use and secured.  Maintain accurate inventory of all equipment.  Develop, implement, and supervise the preventative maintenance programs for all equipment repair, replacement, and renovation. Stay current with audio-visual technology trends and work with the company that maintains the audio-visual equipment in specific rooms to schedule quarterly visits.  Assist in the development, revision, and implementation of a long-range plan for facility audio-visual and technology equipment repair/replacement. Assist with the administration of all platforms used including but not limited to 25live/Collegenet and diagramming software. Assist with developing proposals (RFPs) for equipment and software purchases as needed.  Help establish policies and procedures for facility use ensuring compliance with Labor & Industry and ADA standards, and safety and security.

  • Act as liaison between student organizations and departments using the HUB-Robeson Center and other Student Affairs Facilities. Perform all work related to event planning in the 25live cycle including but not limited to the initial processing of requests and providing estimates as needed, to confirming all details including the completion of a successful event proper charges if necessary.  Meet with organizations and departments to plan and produce events.  Review expectations/consequences with the customer to ensure security measures and staffing needs are adequate for the event.  Offer advice and technical consultation regarding event production to groups utilizing the space and HUB-Robeson Center staff. Resolve scheduling conflicts and interpret University policy with guidance from the supervisor.

  • Assist with supervision, training, and evaluation of student employees as it relates to interns, graduate assistants, and event assistants.  Assist in audio-visual and production training programs that may involve other full-time staff.  Participate and assist with the Student Employee Supervisory Committee and with the HUB-Robeson Information Desk operations and reception area.

The successful candidate must have excellent oral and written communication skills; multitasking abilities; the ability to work with diverse groups of people; the ability to train students and other part-time staff in a variety of skills; and excellent organization abilities. Salary is competitive and commensurate with experience. A Bachelor’s degree, Master’s Degree preferred, plus 5 or more years of related experience, or an equivalent combination of education and experience is preferred.

The pay range for this position, including all possible grades is:

$42,100.00 - $61,000.00
