The Office of the University Registrar at the University of Tennessee, Knoxville, (UTK) invites applications and nominations for our Processing Specialist position. We are seeking candidates who can contribute in meaningful ways to enhancing the accessibility of higher education, fostering a diverse and inclusive academic environment, improving the recruitment and graduation of our students.

The Position:

This is an on-campus position with some hybrid/remote work schedule flexibility.

Provides outstanding customer service and guidance to students, faculty, and staff under the established practices and policies and the direction of the supervisor. Considerable judgment is used to solve problems. This position provides support to students, faculty, and staff in the areas of student record maintenance, attendance completion, and grade entry. Informs academic and non-academic departments regarding policies, procedures, and deadlines each term. Performs maintenance and updates to prepare and make available each term’s timetable for departmental editing. This position is the frontline receptionist and answers the Registrar’s incoming telephone lines and directs calls as needed. Researches and responds to inquiries from students and general public using Team Dynamics. Gathers data to assist with review of policies and procedures related to student academic records. Leads regular team training sessions to share expertise in specialized areas. This position will be cross trained in all areas under the Registrar Operations to allow for peak processing support in the various areas of the Registrar’s Office and may be assigned other related duties.

 



Qualifications

 

Required Education and Experience:

  • High school diploma or GED
  • Two to three years clerical/office experience.

Preferred Education and Experience:

  • Experience in a college or university student services office setting.

Required Knowledge, Skills, and Abilities:

  • Superior customer service and time management skills, and the ability to handle multiple tasks; organizational skills; computer skills including but not limited to Microsoft Word, Excel, Power Point, and Outlook.
  • Strong communication skills including listening, speaking, and writing.
  • Problem solving and organizational skills and ability to pay attention to detail.
  • Ability to be dependable, punctual, and a team player.
  • Ability to learn new software and processes.

Preferred Knowledge, Skills, and Abilities:

  • Knowledge of enrollment management practices, including Registrar, Student Services, and higher education industry as whole.

The Enrollment Management (EM) division comprises more than 190 full-time staff who serve our students through the following departments and functions: Undergraduate Admissions, International Recruitment, Transfer Center, One Stop Student Services, Financial Aid and Scholarships, the Center for Financial Wellness, University Registrar, Pre-college Research Excellence Programs, EM Research & Analytics, EM Communications, and EM Operations.
