Processing Project Archivist (12-Month Assignment)
The Claremont Colleges Services (TCCS) is the central coordinating and support organization for a highly regarded cluster of seven independent colleges known as The Claremont Colleges. TCCS, with about 300 staff members, provides exceptional shared services to 9,000 students, and almost 3,600 faculty and staff. TCCS staff work in both student-facing services as well as administrative and operational services. Our numerous departments are located throughout The Claremont Colleges campus in the beautiful city of Claremont, California.
ABOUT THE POSITION:
The Claremont Colleges Services seeks an adaptable and resourceful individual with professional processing experience and keen attention to detail for the position of Processing Project Archivist. This is a full-time (40 hours/week), benefits-eligible position for 12 months.
Under the direct supervision of Head of Special Collections and Archives for The Claremont Colleges Library, the two Processing Project Archivists will work in tandem to archivally process the Myrlie Evers-Williams (POM '68) Collection . Archival processing includes the arrangement, description, finding aid creation, preservation, and re-housing of the collection. Additional tasks include reference and research assistance for the collection, and identification and flagging of materials for digitization and exhibition.
ESSENTIAL FUNCTIONS
The following are the fundamental duties and responsibilities of this position which the incumbent must be able to perform to fulfill the purpose and requirements of this position.
80% of Time: Archival Processing

  • Survey and appraise materials to be included/excluded from overall collection based on select criteria.
  • Process collection physically to facilitate user access and satisfy routine conservation needs.
  • Arrange collection intellectually, consistent with professional and institutional archival principles and practices.
  • Using ArchivesSpace, describe collection in accordance with institutional best practices to an appropriate level for user discovery in DACS-compliant online finding aid.
  • Assign name and subject headings in finding aid and catalog entries using authorities/controlled vocabularies, including NACO, LCSH, and AAT.
  • Make recommendations for exhibition and digitization of materials from the collection.
  • Consult as warranted with Special Collections & Archives staff in the performance of job responsibilities.

10% of Time: Research Support
  • Coordinate and transport materials from collection processing/storage locations to the Special Collections Reading Room at The Claremont Colleges Library for researchers and ensures the materials' safe return to their storage location.
  • Respond to reference and research inquiries regarding the collection for both internal and external patrons.
  • Assist users in-person and by telephone, chat, and email.
  • Conduct research within the collection as requested.

10% of Time: Other Responsibilities
  • Prepare reports, statistics, and other metrics.
  • Perform occasional outreach activities about the collection, such as by blogging or through social media, making presentations to groups, conducting tours of the workspace, etc.
  • Perform other related duties as assigned.

Work Schedule : The regular hours for these interim positions are 40 hours per week to be scheduled between 8:00 a.m. to 6:00 p.m., Monday through Friday for a term of 12 months. May be required to work holiday, weekend, and/or evening hours. Regular hours may vary due to the needs of the organization or business unit.
ABOUT YOU
Required Qualifications: The following qualifications are required to perform the essential functions of this position, or the individual must demonstrate how the essential functions will be performed (with or without reasonable accommodation) using other qualifications not listed below.
Education/Training :
  • MLS or MLIS with a concentration in Archives from an ALA-accredited program OR
  • MA in Archives, MA in History with an Archival Certificate, OR
  • Comparable educational background and additional experience beyond the minimum required (relevant subject expertise combined with professional library education and archival experience).

Experience :
  • At least one year of archival processing experience including the arrangement and description of archives or special collections materials using library-based descriptive standards including Describing Archives: A Content Standard (DACS).
  • Experience entering/importing data into, and exporting finding aids from, an archival collection management system such as ArchivesSpace or Archivists' Toolkit.

Competencies :
  • Knowledge and understanding of archival theory and practice, national standards, relevant legal and ethical regulations, and best practices that govern the arrangement, description, and use of archival materials.
  • Keen attention to detail and accuracy of all data entry.
  • Strong written and oral communication skills in English.
  • Familiarity of confidentiality, copyright, and other aspects of managing and providing access to sensitive archival materials.
  • Ability to work effectively both independently and with colleagues.
  • Ability to manage multiple priorities and meet deadlines.
  • Ability to work for extended periods of intense concentration.
  • Demonstrated problem solving skills and flexibility.
  • Knowledge of Microsoft Office suite; Adobe Pro suite; XML.

Physical Requirements:
  • Mobility: This position is somewhat active.
  • Lifting/Carrying: Up to 25 pounds unassisted.
  • Dexterity: Must be able to operate:
    • a computer for extended periods of time and other typical office equipment occasionally; and
    • golf cart/company automobile occasionally.
  • Vision: Sufficient visual acuity for reading and writing electronic and printed materials frequently and working on a computer screen for extended periods of time frequently.
  • Hearing: Sufficient auditory acuity for frequent communication in person, by telephone, and by video call, both one-on-one and in a group setting.
  • Work Conditions: Work is primarily performed indoors.

Preferred Qualifications:
  • Experience working in an academic or special library, archive, or museum environment.
  • Familiarity with Encoded Archival Description (EAD) and Machine-readable Cataloging (MARC) formats.
  • Familiarity with practices for preserving archival materials in all formats.

Pay : The pay range for this position is $28 - $30 per hour.

ABOUT THE MYRLIE EVERS-WILLIAMS COLLECTION
The Myrlie Evers-Williams (POM '68) Collection, approximately 250 linear feet, spans the life and work of Mrs. Evers-Williams, civil rights pioneer, trailblazer for Black women, and widow of Medgar Evers; and contains a myriad of formats including paper, photographs, audio-visual materials, manuscripts and published writings, artifacts, and textiles. The collection primarily focuses on the past 60 years of her life after moving to California. It documents her fight for justice for decades after her husband's assassination; her political campaigns and correspondence with political leaders, including delivery of the invocation at the second inauguration of former President Barack Obama; her employment with Atlantic Richfield Company (ARCO) and work as Chairman Emeritus of the NAACP; her involvement with several colleges such as Alcorn, Tougaloo, Pomona, among others; her activity with the Oregon Progress Board; her appointment as Commissioner of Public Works for the City of Los Angeles; and her involvement with civil rights, women's political, and other civic and governmental organizations.
