Job Summary:

Under the direction of the Manager of Mail Services, the Print & Mail Assistant processes incoming and outgoing mail and packages in a timely manner, and assists in receiving and delivering mail, packages, and other items around campus and assists in maintaining the College’s fleet of Multi-Functional Printers (MFP) and the processing of print requests received from various college departments.
The Print & Mail Assistant provides backup support to the Mail Services Manager in the student mail, staff mail, and/or receiving area and to the Business Operations Manager.

Job Description:


DUTIES:

  • Processes the College’s incoming mail (all classes) according to established College procedures in a timely manner, including accurate breakdown by mailbox, department, building, and/or route.
  • Assists with the transport of mail, packages, and other deliveries to and from Mail Services/Receiving and other departments in all campus buildings.
  • Monitor and replenish paper in community copier fleet.
  • Deliver cases of printer/copier paper to various departments as requested.
  • Prepares and meters outgoing mail according to USPS regulations for the various classes of mail.
  • Uses specialized software to select appropriate mail class, assign charge out costs to the originating department, and send appropriate instructions to the postage meter.
  • Maintains accurate records of all meter transactions and prepares standard reports.
  • Using established procedures, identifies and processes mail for presort service.
  • Providers, international remailers, and other vendors; maintains accurate records for chargeout purposes.
  • Prepares outgoing shipments using private carriers, determines costs and surcharges, maintains accurate records of all transactions in a variety of desktop and web applications. 
  • Accepts, processes, distributes, and secures signatures and/or other proof of delivery for incoming parcels, accountable mail, and other shipments; follows established College procedures in the use of the College’s package tracking software and peripherals to insure quick and accurate delivery of items to the Barnard community; maintains accurate records to ensure the ability to track packages at all times; informs the Mail Service Manager of noticeable damage to packages and mail; assists in tracing packages as required.
  • Uses specialized software applications to forward student mail, search for student names and box numbers, trace packages, and perform other mail services tasks as may be required.
  • Provides backup support to the Mail Services Manager in the student mail, staff mail, and/or receiving area.
  • In the absence of a manager, assigns work to mail and receiving clerks and student workers and helps train them in procedures; verifies accuracy of student time sheets; “opens” and “closes” student mailboxes as directed by the Registrar; reports machine malfunctions and places service calls; arranges pick-up service from USPS, presort vendors, and private carriers; provides information about mail and receiving services to the College community and parents.
  • Assist Business Operations Manager with maintenance, proper, and consistent inventory supply levels for the College’s Multi-Functional Printer fleet including: toner, staples, toner waste bottles and paper.
  • Perform minor maintenance on the College’s Multi-Functional Printer fleet including: clearing paper jams, replenishing paper levels, toner, staples, toner waste bottles, and cleaning of scanner glass.
  • Assist users of MFP on basic features for coping, printing, scanning and faxing.
  • Assist Manager of Business Operations with the processing of print requests, review print requisitions for complete and accurate data.
  • Review and edit print files (Word, PDF, etc.) as needed.
  • Interact with printing vendors on behalf of the College in processing printing requests, when appropriate.
  • Perform other related duties as required.


Skills, Qualifications & Requirements:

  • Strong telephone and interpersonal skills; good judgment and tact in dealing with the public.
  • Ability to work independently and troubleshoot problems within established policies and procedures.
  • Able to lift and carry heavy objects and to maneuver fully loaded flat trucks and mail carts.
  • Flexible and able to adapt to changes, including technology.

QUALIFICATIONS:

  • Two years of college with three years of experience in mail services; alternatively, academic high school diploma with five years of office experience, including at least three years in mail services.
  • Demonstrated computer ability; knowledge of word processing, spreadsheet, and database applications highly desirable.

SALARY RANGE: $32.50/hr - $32.50/hr

The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the College's good faith and reasonable estimate of the range of possible compensation at the time of posting.
