The Opportunity:

As the Principal Assistant, you will be responsible for carrying out a full range of complex and confidential administrative and managerial assignments on behalf of the Office of the Chancellor, WSU Pullman. Duties include, but are not limited to providing comprehensive administrative support; responsible for maintaining open communication and collaboration among internal and external constituents; project planning and management; research; and executing strategic goals of the office and university.
 

This position is proactive, takes initiative, is efficiently responsive, undertakes projects with little direction, and analyzes and summarizes information for projects. The work and information handled regularly requires confidentiality and the exercise of discretion.

Representative Responsibilities

Administrative Support and Office Management

  • Provide high-level, confidential support to the Vice Chancellors and Campus Chief of Staff through activities such as assisting and resolving issues/inquiries, meeting minutes, following up on operational commitments, and managing appointments and electronic calendars.

  • Respond to phone calls, guests, and correspondence, refer inquiries to the appropriate offices using own independent judgment and discretion, and follow up as needed.

  • Support and coordinate travel-related arrangements for the Office of the Chancellor team.

  • Exercise judgment to solve unusual administrative problems.

  • Communicate important policy matters, action items, and correspondence necessary for the smooth and coordinated operation of the organization.

  • Assist with projects involving sensitive and confidential information.

  • Maintain property inventory information for the office.

  • Prepare budget, personnel, and contract-related paperwork and complete appropriate Workday processes.

  • Assist with various office management activities (e.g., office supplies, central travel account, departmental purchasing card reconciliation, purchase orders, etc.).

  • Supervise the Chancellor’s Office student worker team.

Project Management

  • Work closely with members of the Chancellor’s Office on a variety of projects and initiatives, some with campus and university-wide impact.

  • Create, draft, and/or prepare executive summaries, informational materials, presentations, and/or reports; this may involve collecting data from multiple sources, and analyzing and summarizing information.

  • Using discretion and independent judgment, coordinate and manage the logistics, and/or administration of events and projects.

Required Qualifications:

  • A Bachelor’s degree in business administration or other relevant field and four (4) years of progressively responsible management work experience. Any combination of relevant education and experience may be substituted for the educational requirement on a year-for-year basis.

  • Excellent written and spoken communication skills, including professional experience in preparing correspondence, reports, and presentations.

  • Experience working in an environment requiring confidentiality.

  • Demonstrated ability to function well under pressure in a fast-paced environment.

  • A history of meeting deadlines and providing high-quality work.

  • Excellent writing and proofreading skills.

  • Strong customer service skills.


Preferred Qualifications:

  • Previous experience with Workday or another complex enterprise system with an HR and/or Finance module.

  • Experience providing executive-level support to an individual or group of individuals.

  • Demonstrated fiscal and administrative experience relating to budgeting, funding, grants, contracts, purchasing, and/or travel.

  • Project management experience.

  • Familiarity with WSU policies and procedures.

Monthly Salary: $4,508.70 - $5,072.29 | In accordance with RCW 49.58.110, the above salary reflects the full salary range for this position. Individual placement within the range is based on the candidate’s current experience, education, skills, and abilities related to the position.
