Summary of Duties:


Responsible to provide comprehensive and professional administrative support to support to the Vice Chancellor (VC) for Student Affairs. Serves as primary point of contact for both internal and external constituents concerning/ in matters pertaining to a variety of departmental issues, on complex, sensitive and confidential issues. May represent the VC in positions and writing requiring a high degree of tact, diplomacy, and confidentiality.
 
Exercise independent decision making, proactive, self-directed, ability to prioritize the VC workflow in a timely and accurate manner. Handles multiple incoming issues and concerns as they arise. Oversee and provide a wide range of diverse administrative duties. Manage the day-to-day office support activities, including monitoring and making budgetary recommendations.


Duties & Responsibilities Include:

  • Administrative Support to the Vice Chancellor of Student Affairs: 60%
  • Supervision: 10%
  • Office Management: 10%
  • Budget: 10%
  • Information Systems Support: 5%
  • Other: 5%

Required Qualifications:

A Bachelor’s degree in business administration or other relevant field and four (4) years of progressively responsible management work experience. Any combination of relevant education and experience may be substituted for the educational requirement on a year-for-year basis.

Additional Requirements:

  • Direct experience related to assisting an executive or department head.
  • Demonstrated experience with personnel and/or office management.
  • Experience in maintaining a high level of confidentiality.
  • Demonstrated professional level oral and written communication skills.
  • Demonstrated ability to perform tasks with a high degree of accuracy, and thoroughness.
  • Highly proficient in using Microsoft Office Suite products, managing calendars, internet and email.
  • Ability to work flexible hours, including evening and occasional weekends.

Preferred Qualifications:

  • Demonstrated working knowledge of policies and procedures in a complex academic institution or similar complex organization.
  • Experience working with the content and structure of academic departmental budgets.
  • Professional working experience in a higher education environment, preferably a large University.
  • Demonstrated knowledge of FERPA.
  • Demonstrated ability to manage multiple priorities with varying deadlines.
  • Experience with WorkDay.

Monthly Salary: $4,508.70 - $6,763.06; commensurate with qualifications.

In accordance with RCW 49.58.110, the above salary reflects the full salary range for this position. Individual placement within the range is based on the candidate’s current experience, education, skills, and abilities related to the position. Successful candidates typically begin up to mid-point of the salary range.
