Preclinical Program Coordinator, Office of Academic and Student Affairs

College of Veterinary Medicine 

The College of Veterinary Medicine invites applicants to apply for the position of Preclinical Program Coordinator, located in the Office of Academic and Student Affairs. The position aids veterinary faculty and professional students in curricular and student life matters. Primary responsibilities include oversight and scheduling of orientations, courses and student activities within the professional curriculum, and organizing and tracking electives and the Early Clinical Exposure course in the first 5 semesters of the program. Other support of Educational Enhancement efforts and student engagement is included as well. The position is an integral part of the Academic and Student Affairs team in the college, working with the Associate and Assistant Deans, college Registrar and admissions group, college assessment group and additional administrative staff. The team supports over 350 students and will be expected to support up to 500 students in the near future as enrollment and programs expand.

 



Qualifications

 

Typical Responsibilities:

  • Program and Curriculum Leadership
    • Manages delivery of complex professional DVM curriculum by requesting course needs, preparing detailed instructional schedules for all veterinary students and creating sections for lectures and laboratories
    • Manages use of instructional space by overseeing the scheduling of 8 classrooms, two major instructional laboratories, small group rooms and multiple study rooms
    • Serves on College Curriculum Committee and provides student and logistical concerns and solutions
    • Manages all elective courses for faculty and elective selection process for students, including a video library and database of a dynamic group of over 100 elective courses
    • Manages early clinical experience placements for students in year one and two and provides orientation to the course; also maintains a database of information about each placement for student reference
    • Manages scheduling of examination and other assessments times, locations and coordinates these across 3 cohorts of veterinary students
    • Participates in ongoing review and enhancement of scheduling process, curriculum and orientations
    • Assists with similar items for the veterinary technology degree under preparation
    • Serves on other college and institute/university committees as relevant to position, interdepartmental collaboration and strategic planning
  • Freshman Orientation and Clinical Student Orientation
    • Fully coordinates planning and delivery of curricular components
    • Supports student enrollment logistics
    • Works with ASA staff to assign mailbox, lockers, lab sections to incoming classes
    • Collects orientation information with admissions to develop student address/phone lists, record emergency contact information, format student biographies, provide student data to Admissions, and file
    • Maintains and updates Canvas Catalog Orientation (VolVets Firsts) Course
    • Prepares and continually improve orientation scheduling and delivery
    • Contacts and confirms presenting individuals and industry partners for orientation programming
  • Clinical Transition Course/Workshops
    • Updates and maintains Canvas Catalog of Transition and Clinical Orientation information
    • Plans and implements two-week transition course for third year students entering the clinical phase each year, including but not limited to USDA accreditation, jurisprudence, clinical orientation and skills refreshers
    • Engages and confirms speakers including managing speaker travel
    • Organizes locations, schedules, and personnel for in-house activities
    • Manages initial portions of USDA Accreditation for clinical phase veterinary students
  • Student Services and Student Engagement
    • Assigns faculty mentors to each student
    • Advises students on selection of early clinical exposure and elective courses
    • Provides advice and support for student-led events
    • Assists with major college events related to scholarship recognition, white coat ceremony, senior banquet, graduation
    • Provides open door support for student needs, questions, trouble-shooting
    • Maintains pulse of student engagement and satisfaction through day to day interactions, events and occasional surveys
    • Navigates conflicts among faculty needs, student needs, and other minor issues
    • Consults with Associate Dean or Assistant Dean when necessary
    • Serves as Administrative support and Ex officio member of the Educational Enhancement Committee:
      • Helps to plan, organize, schedule and set-up student events hosted by the EEC and Academic Affairs Office. Includes acquisition of caterers, menu, and location, purchase of food and/or supplies, and assisting set-up and clean up
      • Events include: White Coat Ceremony, Scrubb’in In Ceremony, Ice Cream Appreciation Day, Mentor-Mentee lunch and Finals Breakfasts
      • Works with Educational Enhancement Committee on college-wide issues, as this committee is our major group with student, faculty and staff representation
      • Maintains best practices for student engagement and communication with students
  • Room Scheduling
    • Coordinates labs across classes, exam schedules and schedule rooms to accommodate each class for the year
    • Assists with Room Reservations for classes, faculty and outside events or clubs
    • Helps to maintain the College Calendar

Minimum Qualifications:

  • Bachelor's degree and four years of relevant experience, or an equivalent combination of education, training, and experience.
