Primary Purpose of Organizational Unit
The UNC Adams School of Dentistry Division of Craniofacial and Surgical Care provides a diverse approach to treatment for patients with craniofacial or oral and maxillofacial conditions, including those with multiple or complex oral health problems. The Oral and Maxillofacial Surgery discipline functions within the Adams School of Dentistry and UNC Hospitals and specializes in implant surgery, jaw tumors and disease, trauma surgery, cleft palates, facial cosmetic surgery and much more.
Position Summary
The Oral and Maxillofacial Pre-Registration Coordinator performs multiple quality control functions for inpatient accounts, outpatient surgeries and outpatient radiology, ensuring all pertinent information is available and accurately documented, allowing for timely and efficient billing. This position will be responsible for analyzing and monitoring accounts for proper documentation of third-party review notifications, authorizations, insurance verifications, collections of deposits and self-pay balances, securing reimbursement methods of non-insured patients, updating EHR guarantor accounts and the collection of verification of relevant patient data needed to process claims and collections. The Pre-Registration Counselor plays a vital role in the revenue cycle.
Minimum Education and Experience Requirements
High school diploma or equivalency and one year of related office experience; or equivalent combination of training and experience.
Required Qualifications, Competencies, and Experience
Work performed by the incumbent impacts every area of the revenue cycle within OMFS/DFP, as well as outside providers, therefore the following skills are essential to performing the required tasks of this position: 
- Pre-register patient types by gathering patient’s information such as demographics, insurance, and clinical information. Verifies and assures all accounts are ready for billing with adequate supporting documentation during the pre-registration and check-in process. The Pre-Registration Coordinator will proactively pre-register all scheduled patients prior to the date of service and verify accuracy of EHR data during the clinical encounter. The coordinator is responsible for ensuring a high level of accuracy for data entry. 
- Maintains daily contact with Patient Business Services, Patient Care Coordinators, Front Desk team members, various third-party agencies, HMO/PPOs, and other outside entities as needed. Serves as the primary phone contact for patients and referring medical and dental practices. 
- Ensures document retention and destruction, when appropriate, in compliance with established Policy and/or other applicable Guidelines. Follows policy and procedures regarding financial screening, arrangements and third-party demands. 
- Confidently communicates patient out-of-pocket amounts and facilitates collection, where applicable. 
- Responsible for determination of patient’s ability to pay and secures repayment arrangements, if required. Additionally, will refer patients who might have financial difficulty to pay to financial counseling team. 
- Understands and can translate insurance plans to patients in accordance with billing guidelines and policies. 
- Works with physician offices and clinical areas to collect and share patient information and to help update stakeholders on changes in Patient Registration requirements, processes or programs. 
- Verifies eligibility with government and commercial payers; assists with obtaining prior and post authorizations as needed. 
- Show personal accountability by following policies and procedures regarding financial screening, arrangements, third-party demands and data integrity. Proven record of productivity and high-quality work as evidenced by an increased collection rate. 
- Provide front line customer service including reception and registration. Is expected to participate fully as a team member in a dynamic, client-focused, fast-paced clinic environment.
Preferred Qualifications, Competencies, and Experience
Familiarity with policies and procedures regarding dental and medical insurance. Superior communication skills, written and oral.
