Brandeis University is delighted to announce a career opportunity as Pre-Award Grants Administrator. This position will perform pre-award grants administration and non-financial post-award functions within the Pre-award Group in the Division of Science. This position is responsible for the accurate and timely submission of sponsored projects each year (grants, contracts, fellowships, training awards, etc.). Works closely with the Pre-award Manager, Office of Research Administration (ORA) and the other grants administrators in the Pre-award group. Assists management with other high level assigned program operations functions when needed.


 

Some of the responsibilities include:

Work with faculty, fellows, department administrators, research support staff, and the Office of Research Administration (ORA) to ensure the timely, compliant, and accurate preparation of sponsored research applications, progress reports, and other documents related to pre-award from the Division of Science and Psychology. Administer grant applications to be submitted to various finding agencies, reviewing all documents to assure compliance with institutional and agency guidelines. When notified by ORA of a Just in Time (JIT), working closely with the PI and post-award to assemble non-financial post-award documentation. Coordinate grant and fellowship application activities with department administrators, post-award managers, and the appropriate university offices. 75%

Work with the Pre-Award Manager to build and maintain the pre-award infrastructure at the Division level. This may include, but is not limited to, standardization of documents across the Division; electronic systems to track pre-award submissions; new processes to track other support and PI effort, facilities, resource sharing, equipment requests, cost sharing, JIT information, PMCID auditing, and progress report due date tracking. Maintain database to keep track and update faculty biosketches, current and pending support, and other administrative components of the grant process. 15%

With the DivSci technology group, maintain FilemakerPro SciPreaward, SciTrainees, and SciPublication databases to track trainees, publications, upcoming grant work flow and assignment to GAs, overall functioning of the pre-award database. Maintain Data Tables for NIH and NSF Training Grants for renewals, progress reports, and site visits. With Pre-award manager, maintain the DivSci pre-award internal Knowledge Base (KB) pre-award site. 5%

Dimensions and Scope:

This position requires a self-motivated, highly organized, high-level thinking individual who can function in an interruption driven environment with minimal errors. This position will interface with multiple faculty and university staff and requires superb people skills and a calm demeanor. Must be able to communicate effectively in person and in writing with staff, faculty, and students within and outside of Brandeis. Requires independence, initiative, and a strong attention to detail.

Qualifications:

  • Bachelors required; advanced degree preferred

  • Ideally 1-3 years of work-related experience in pre-award grants administration at the university, hospital, state, and/or institute level.

  • Must be comfortable with technology and a willingness to learn new systems and programs. Working knowledge of Microsoft Excel and Word, experience with databases, the PHS Form Pages, Research.gov,  eRACommons, and the ASSIST submission portals is preferred.

  • A solid working understanding of Excel in order to assist in the preparation of application budgets.
