The University of Virginia Darden School of Business seeks a Global Programs Administrator to join its Center for Global Initiatives (CGI) team. The Administrator will provide administrative support for the range of global programming sponsored by CGI including in the residential MBA students (Darden Worldwide Courses, Global Client Projects and Exchange), professional degree students (Global residencies and Global Client Projects), and in the International Partner Programs.

The Center for Global Initiatives sponsors academic programs in more than two dozen countries for Darden students every academic year with over 400 enrollments, with virtually all Darden full-time residential students enrolling in at least one course during their program and all Executive MBA students required to complete one global residency. Additionally, CGI welcomes MBA students from elite partner business schools around the world to study in the U.S. at its facilities in Charlottesville and Rosslyn, through custom International Partner Programs. This role will provide excellent administrative support to global programs and will collaborate closely with the CGI team to ensure the seamless execution of the assigned programs and initiatives.  This role will also provide administrative support for engagement activities through the Center, such as leadership travel and international events.

The Administrator will support the team by managing all administrative aspects of the implementation of global programs, such as travel management for faculty and staff, student travel registrations, student travel insurance enrollments, Canvas course support, scheduling pre-departure sessions, event logistical support, etc., as well as reaching out to external stakeholders to confirm program logistics, meetings and details.

Specific duties and responsibilities:

Administrative and Programmatic Support for Darden Worldwide Courses and Global Residencies

  • Work closely with the CGI team, program faculty leaders, vendors and other stakeholders to confirm all final details of program itineraries. Assist with securing and finalizing business meetings as needed for program itineraries; assist with setting up learning management system pages when needed; and assist in preparing program materials, pre-departure meetings, and logistical travel information for students. Advise students on travel resources as needed.
  • Manage all administrative pieces, including but not limited to: Darden student information systems related to global programming; UVA’s Travel Registration system; emergency contact plans; emergency insurance enrollment; Travel Waivers as needed for programs in countries under a travel advisory; manage any other relevant systems related to program operations, risk management and compliance; responsible for speaker gift selections and tracking on assigned DWCs; create and manage program evaluations and arrange post-program debriefs with faculty and document feedback from program to ensure continuous improvement.
  • Update CGI’s sharepoint portal and Canvas pages.

Travel coordination for Darden Worldwide Courses and Global Residencies

  • Develop estimated flight expenses for assigned destinations.
  • Manage all travel arrangements for faculty and staff participating in assigned programs including booking air travel, arranging departure and return transfers, closely managing overall travel costs within the parameters for successful travel and budget, and reconciling travel budgets post-program.  
  • Ensure travelers have all required information for smooth engagements and can arrive in-country prepared to lead programs.

Administrative and Programmatic Support for International Partner Programs

  • Provide general administrative support to allow smooth and client-focused execution of the IPPs, including coordinating company and cultural visits, coordinating hotel stays, making catering arrangements, requesting course materials, building and updating Canvas course pages, preparing program materials and setting up classroom in advance of program taking place.
  • Support scheduling activities related to IPPs, such as holding time on faculty calendars, arranging meetings for guest faculty during their visit, making restaurant reservations if there is a program leadership dinner, etc.

Other program support

  • Support other CGI sponsored initiatives as needed, such as the DWC Staff Coordinator role, Darden Art Project, CGI Student Ambassador Program, and managing logistics related to international guest visits to Darden.
  • Support international event logistics, such as working with venues, restaurants, hotels and transportation companies, as well as travel arrangements for Center leadership.

    Professional experience and education:

    • High School diploma with four years of relevant experience. Bachelor's degree may substitute for years of experience.
    • Ability to provide comprehensive administrative support for complex programs.
    • Demonstrated ability to work with diverse student populations.  
    • Demonstrated project and event management experience.
    • Strong interest in international education.
    • Strong oral and written communication skills.
    • Ability to communicate and work effectively with a wide range of stakeholders.
    • Ability to manage multiple priorities and problem solve.
    • Strong interpersonal skills.
    • Strong attention to detail.
    • Diligent follow-up skills and pushing projects/initiatives forward.
    • Demonstrated ability to work in a fast paced, innovative, student-centered environment.
    • Microsoft Suite with advanced skills in Word, Excel and PowerPoint products.  
    • Experience with online survey and assessment tools.
    • Experience with Microsoft SharePoint and Canvas (or another LMS) preferred.
