The Office of Physician and Executive Recruitment has an exciting opportunity for a Physician and Executive Recruitment Coordinator to work in Miami, FL.

JOB SUMMARY
                

The physician recruitment and onboarding coordinator collaborates with a wide range of clinical departments, internal business units, and external recruitment partners. This role serves as a liaison on behalf of Physician Recruitment leadership to foster strong working relationships and support the logistics of physician recruitment and onboarding activities.

JOB FUNCTIONS                                                                                                 

  • Provides calendar management support for the department leadership; schedules meetings and supports in preparation and distribution of materials, as necessary.

  • Guides and assists lower level recruitment coordinators as needed. Serves as an educator and internal consultant to leadership, teams and individuals meeting the needs of physicians and UHealth departments.

  • Posts positions in applicant tracking system and ensures candidates have applied and are dispositioned appropriately.

  • Supports the coordination of physician interview visits in partnership with department administrators. This may include but is not limited to, making arrangements for travel, lodging, meals, and welcome gift, developing itineraries for physician and spouse, and planning transportation, as needed.

  • Coordinates background checks, orientations, health screenings and associated physician onboarding processes.

  • Partners with hiring managers and internal stakeholders to ensure a successful onboarding experience (credentialing, privileging, provider enrollment, trainings, etc.), which may include relocation services.

  • Develops and maintains an effective working knowledge of physician employment agreements, employment process, offer packages, compensation and benefits to answer candidate questions as needed.

  • Assists with the assembly of physician offer letter packets in partnership with departments to ensure that all appropriate paperwork and signatures are obtained.

  • Follows up with the respective hiring managers and candidates to ensure timeliness of recruitment process.

  • Facilitates the planning and organization of events for recruitment and programmatic activities.

  • Completes special projects/assignments requested by department leadership.

  • Manages records associated with recruitment activities, ensuring recruitment files and databases are accurate for reporting purposes.

  • Performs various administrative support functions which require proactive coordination, management, and communication, including but not limited to, check requests and processing invoices pertaining to department and recruitment activities.

  • Maintains up to date knowledge and compliance with federal and state fair employment laws and guidelines.

  • Adheres to University and unit-level policies and procedures and safeguards University assets.

QUALIFICATIONS                                                                                              

Education:

Bachelor’s degree in relevant field preferred, additional experience considered in lieu of degree

Experience:  

Minimum 1 year of relevant experience required. Any relevant education, certifications and/or work experience may be considered.

  • Ability to accurately prepare and maintain records, files, reports and correspondence

  • Ability to communicate effectively in both oral and written form

  • Skill in completing assignments accurately and with attention to detail

  • Ability to analyze, organize and prioritize work under pressure while meeting deadlines

  • Ability to process and handle confidential information with discretion

  • Ability to work independently and/or in a collaborative environment
