Job Summary:

The Department of Anesthesiology is seeking applicants for Pediatric Division Program Manager. This full-time, University Staff (Unclassified) position will work closely with the Division Administrator, Pediatric Division HR Generalist, Pediatric Recruitment and Faculty Affairs Coordinator, Division Clinical Operations team, and other Departmental leadership to support the operational needs of the Pediatric Division, which is comprised of over 40 Advanced Practice Providers, and roughly 55 physicians who support the clinical mission in the Department of Anesthesiology.

The Pediatric Division Program Manager is responsible for leading, planning, organizing, and managing the clinical and business operations of the Division, ensuring compliance with all internal and external policies and procedures that govern the Department’s efforts. The Pediatric Division Program Manager oversees the program’s administrative team, and the day-to-day operations in support of the Department’s and School of Medicine’s missions and goals.

A successful Pediatric Division Program Manager will provide high quality, creative, and solutions-oriented support, advice, and counsel at the strategic, policy and operational levels to the Division Administrator. The position will be responsible for having a deep understanding of the operations of the Division to include scheduling requirements, compensation structure, financial structures and budgeting, and evaluation structure and reporting. For project-related tasks, the Pediatric Division Program Manager will work closely with the Division Administrator to define project scopes, set expectations, manage issues, and establish work structures that fit into an iterative project management methodology.

To be successful in this role, the ideal candidate must understand the importance of grounding their decisions in policy, best practice, and consistency. While new and creative ideas regarding operations of the team are encouraged and accepted, those ideas must be rooted in compliance and equity for all team members.

Key Responsibilities:

  • In collaboration with Division Administrator, assist with compensation and budget planning and revisions on an annual basis
  • Coordinate with Physician Leadership regarding the creation and implementation of various policies, handbooks, guidelines, etc. that will be maintained on the Department’s Intranet
  • Plan, implement, and execute business, operational, and clinical projects at the request of Physician and Division leadership
  • Track and report on progress and accomplishments specific to aforementioned projects via the Division huddle board
  • Support Pediatric administrative team by overseeing daily tasks, and maintaining group competency and resources for that body of work
  • Manage and oversee the day-to-day operations of the Pediatric administrative support team by holding regular meetings with individual staff, maintaining ownership of Division huddle board, and escalating both barriers and successes to Division Administrator
  • Facilitate effective recruitment and onboarding in partnership with the Faculty Affairs and Recruitment Coordinator, and with support from Division Administrative Assistants
  • Coordinate between Pediatric HR Generalist and Schedule Coordinator to ensure that QGenda accurately reflects faculty clinical assignments, leave, and variable pay
  • Develop administrative policies, procedures, and guidelines specific to the Pediatric APP Team, working with the Department’s People Operations Director, Division Administrator, and University Legal and Risk Management to ensure compliance
  • Assist Division Leadership with developing and executing appropriate, efficient, and timely annual 360 evaluation process
  • Monitor Division productivity, faculty performance, and financial dashboards and investigate variances in the spirit of continuous process improvement across the Division
  • Develop, implement, and monitor salary allocations that are complex in nature, working closely with the Department’s Payroll & Compensation Specialist to ensure accuracy and timeliness of both salary funding distributions, as well as incentivized shift payments

Supervision will be by the Pediatric Division Administrator

Supervision Exercised:

The Program Manager supervises the Administrative Assistants and Schedule Coordinator

Qualifications:

Minimum Qualifications:

  • A bachelor’s degree in business, business administration, finance, social sciences, healthcare administration, public administration, communications, information systems, or a directly related field from an accredited institution.
  • Applicants must meet minimum qualifications at the time of hire.

A combination of education and related technical/paraprofessional experience may be substituted for the bachelor’s degree on a year for year basis.

The position requires extensive, diverse and progressively responsible experience, including direct responsibility for managing or leading some component of clinical operations. This might include oversight of complex scheduling, budgeting, or another component of a practice providing direct patient care.

Preferred Qualifications:

  • Master’s degree in business, healthcare administration/management, public health, or a directly related field
  • Experience working in a healthcare clinic or medical field in an administrative capacity
  • Experience utilizing and/or managing complex scheduling systems such as Qgenda
  • Experience working in higher education and/or academic medicine
  • Experience with financial analysis, budget analysis, and management concepts

    The starting salary range (or hiring range ) for this position has been established as $69,984-89,020
