Department-Specific Responsibilities

  • Manages all communication for the Pediatric Clerkship Educational Program for third year and fourth year medical students.
  • Assists with planning for special courses such as Honors Program, Transitions, Visiting Students, and Residency Application Series. 
  • Coordinates space, resources, onboarding, and student and faculty communication necessary for clinical teachers to instruct approximately 400 third year and 75 fourth year medical students statewide during the academic year.
  • Updates student resource pages (Canvas, MedHub) and tracking assignments/requirements, and collating and analyzing data from evaluations/surveys.
  • Prepares reports and summaries of local and statewide clerkship activities, including analysis of summaries to make recommendations for medical student awards.
  • Compiles and analyzes student grade and faculty evaluation data for annual discussion and distribution to regional campuses, and comparison with Indianapolis campus. Coordinates with students (schedule), supervises (proctor), and executes medical student clerkship final examination (NBME).
  • Provides assistance during absences to cover any needs for the third and fourth year medical student programs. 
  • Attends monthly meetings with UME for third and fourth year medical student administrators.
  • Participates in professional development activities such as institution and school UME programming, webinars provided by AAMC and LCME, reading literature, staying current with trends in pediatric education as it pertains to student education etc. Become a member of Council on Medical Student Education in Pediatrics.
  • Makes independent decisions, problem-solve, and make judgment calls in regards to determining service time and assessing service options regarding students, faculty, and the educational program.

General Responsibilities

  • Provides administrative support to the department, such as managing calendars, answering phone calls, creating routine and confidential correspondence, drafting reports and presentations, and arranging meetings and conferences.
  • Schedules rotations and clinic hours for members, and may arrange extracurricular activities.
  • Counsels current and incoming residents on administrative issues such as scheduling, rotation requirements, benefits, and leave.
  • Coordinates activities related to recruitment, including events, screening, interviewing, reference checks, and orientation for candidates.
  • Maintains ongoing documentation with respect to accuracy, confidentiality, and accessibility.
  • Implements program improvement projects from initiation to execution.
  • Offers recommendations to improve program administration and/or the overall quality of care.

EDUCATION

Required

  • High school diploma or equivalent (such as HSED or GED). 

WORK EXPERIENCE

Required

  • 2 years of experience in administration, office management, or program coordination. 

Preferred

  • Experience in a clinical or academic setting.

This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus. This position is eligible for remote work or to work a hybrid schedule (mix between remote and in-person work), subject to change in the future based on university policy and business needs.  

$42,000 - $47,000 per year based on experience, skill level, education, and training.
