Duties and Responsibilities:

Under general supervision, the Payroll Specialist processes TUC's semi-monthly payroll using ADP WFN and eTime; enters/checks new hire paperwork, Action Request forms and timesheets for accuracy of coding, adherence to applicable laws, calculates and inputs data necessary to process payroll; generates and distributes reports and spreadsheet reports; reconciles monthly benefit bills and GL journals; prepares vacation journal entries; notifies employees of stale-dated checks and prepares journals for escheatment; prepares manual checks and check requests as needed; provides daily supervision of student asst, maintains files, performs other duties including special projects. 

  • (40%) Enters/verifies employee data in ADP & eTime; assists with payroll processing by manual entry of timesheets, review/sign-off electronic timesheets; notifies employees and approvers of possible labor violations, inputs penalties as necessary, notifies approvers of missing approvals. Set-ups up department codes in ADP and eTime, as well as approver sets and allocation rules; updates departments and allocations as needed. 
  • (15%) payroll coding errors; reconciles CalPERS bills and prepares journals for accounting.
  • (25%) Handles calls for assistance (with access to ADP and/or eTime, pay statements, tax forms...), answers payroll related questions, completes EDD audit requests; maintains files (electronic and physical); assists with foreign national tax analysis.
  • (10%) Works on special projects as needed; suggests process changes/improvements; performs other duties as assigned.

Qualifications:

  • Two years of general payroll experience for a large company (250+), preferably using ADP WFN and eTime, and including heavy data entry with accuracy. 
  • Equivalent to AA degree in business related major

Knowledge, Specialized Skills, and Abilities:

  • Must type 50 wpm (minimum) with zero errors.
  • Working knowledge of Excel and general office record-keeping methods, procedures, and practices.
  • Must have the ability to maintain payroll files and records, communicate effectively (verbal and written); read, understand and apply rules and regulations.
  • Deal effectively with the public; establish and maintain effective working relationships with Faculty, Staff and all levels of employees.
  • Operate standard office machines such as a calculator, use personal computers and/or automated accounting systems; and utilize Excel spreadsheet applications (vlookup, pivot tables);
  • Peoplesoft experience a plus. 

Pay, Benefits, & Work Schedule:

This position is employed through The University Corporation (TUC).

Full pay range: $21.78 /hr - $29.00/hr

Anticipated hiring range: $21.78 /hr - $29.00/hr

Time Base: Full-Time
