St. Catherine University invites applications for full-time Payroll Specialist.
The Payroll Specialist serves an essential role within the University Business Office as the primary payroll processor for University employees. Responsibilities include being the primary customer service contact for payroll and general inquiries on payroll matters; providing timely and accurate payment and payroll information to employees; maintaining payroll records; timely submission of retirement contributions and other benefits-related payments of payroll liabilities.
Responsibilities include:

  • Ensure time sheet and leave report submissions and approvals are received per established deadlines.
  • Upload web time sheets and input paper time cards for auxiliary departments (if any).
  • Process weekly change report from Apprize.
  • Enter, verify and maintain payroll deduction records.
  • Review and verify employee direct deposit information.
  • Process payroll(s) weekly, verifying the accuracy of hours and wages paid.
  • Process termination workflows as needed.
  • Calculate weekly payroll tax due.
  • Manage annual process for expiring exempt W-4 forms.
  • Scan payroll records into DocFinity system
  • Assist HR with questions and problem solving.
  • Work closely and in collaboration with Payroll Accountant/Supervisor to coordinate tasks and manage deadlines and projects.
  • Submit 403(b) premiums timely; maintain and reconcile 403(b) records for annual audit.
  • Pay/remit payroll liabilities timely; prepare journal entries for liabilities.
  • Primary customer service contact for departments for payroll and general inquiries on payroll matters. Answer employee questions, provide documentation or assistance to faculty, staff and students regarding payroll issues.
  • Draft/prepare outgoing general payroll related communications (reminders, updates, etc.); send/share once approved by Payroll Accountant/Supervisor.
  • Provide payroll data to auditors or staff members as directed by Payroll Accountant/Supervisor.

Minimum Qualifications
  • Associates Degree
  • Three (3) years of experience using automated payroll systems
  • Experience responding to customer questions by phone, video and email in a manner that is respectful, timely and accurate
  • Experience working with a diverse group of customers with a wide array of cultural and educational backgrounds
  • Experience learning new automated payroll systems
  • Near perfect keyboarding skills, 10-key by touch and touch-typing
  • Experience using microsoft excel including formulas
  • High aptitude for working with numbers to understand, calculate, analyze and reconcile large amounts of data
  • Experience learning and carefully adhering to mandated policies and procedures which may include Federal and State regulations
Preferred Qualifications
  • Experience processing payroll as part of a collaborative team
  • Experience communicating with employees, vendors and auditors with timely and accurate data
  • Experience using Banner and/or Argos
