Overview of Part-Time Administrative Assistant

 

This position has a limited duration and is anticipated to last no longer than 1 year.  Continuation depends on funding and business need.  Benefits do apply.

The Computer Information & Technology department is seeking a Limited Duration Administrative Assistant.  This position will be a part-time benefits eligible position.  The position will be responsible for handling all day to day administrative support functions for all grant activities Individual will work independently to administer and provide specialized support.

 

Pay:

  • $16.00 - $18.00

 

Schedule:

  • Monday - Friday, flexible hours

Duties and Responsibilities of Part-Time Administrative Assistant
  • Proposal Preparation and Submission: Pre-award management participating in the preparation and submission of proposals, fostering collaborative relationships; coordinating with sponsors and the Sponsored Programs Office to review for compliance and meet submission deadlines
  • Perform targeted funding searches, communicate with potential funding sources
  • Follow up with potential industry sponsors and partners
  • Communicate with potential grant partners; organize virtual and in-person meetings
  • Funds and Compliance: Manage research and discretionary funds
  • Ensure that appropriate expenses are placed on the funds, funds are closed out in a timely matter, and the terms of the contracts are met
  • Assist with managing grant timelines and ensures projects are set up, closed, and changed appropriately
  • Assist PI with establishing IP Agreements, NDAs, or other contracting activities
  • Processes all DIV's, credit memos, reimbursements and hiring documents for fulltime, temp and student hires
  • Prepare travel documents and arrangements for PI and CO-PIs
  • Reporting and Marketing: Provide up-to-date, accurate reports on the status of research projects and funds to PIs on a monthly basis
  • Maintain database or spreadsheet of grant or contract applications, awards, and projects
  • Provide and gather information for project reports
  • Develop and publish project flyers, promotional materials and news
  • Provide information to department social media and web coordinator for posting on grant website and social media
  • Organize on-line and in person meetings and events related to sponsored projects
  • Communication: Serve as liaison between PIs, University administrative offices, and external agencies, sponsors or partners
  • Responsible for clear communication to PIs on standardized information, ensure that all faculty and research staff are aware of any new grant policies and changes
  • Foster strong relationship with all appropriate stakeholders

Education of Part-Time Administrative Assistant
  • HS Diploma required

Experience of Part-Time Administrative Assistant
  • Two years’ administrative support experience
