Overview:  

The Neutron Sciences Directorate (NScD) at Oak Ridge National Laboratory (ORNL) operates the High Flux Isotope Reactor (HFIR), the United States' highest flux reactor-based neutron source, and the Spallation Neutron Source (SNS), the world's most intense pulsed accelerator-based neutron source. Together these facilities operate 30 instruments for neutron scattering research, each year carrying out an excess of 1,000 experiments.  NScD seeks to answer big science questions about the fundamental nature of materials at the atomic scale. By answering big science questions, neutrons help spur innovations that improve our daily lives: more powerful computers, more effective drugs, longer lasting batteries, and improved armor for the military.

We are looking for a highly qualified Operational Support Assistant and NScD Proposal Coordinator to provide administrative and operational support to the Chief Operations Officer (COO), the Programs and Planning Specialist, and the directorate communications office.

 

Major Duties/Responsibilities:

 

The selected candidate will perform a full range of office/administrative functions for the COO, communications office, and provide backup support to the directorate office, along with the NScD Proposal Coordinator role. This position facilitates responses to strategic agreement opportunities for NScD, including federal and nonfederal Strategic Partnership Projects (SPP) and Cooperative Research and Development Agreements (CRADA), as well as Funding Opportunity Announcements (FOA) and National Laboratory Program Announcement (LAB) proposal calls, with the objective of ensuring high quality proposals that meet ORNL and DOE requirements.

 

Responsibilities include:

 

  • NScD Proposal Coordinator – facilitate responses to strategic agreement opportunities and proposal calls.
  • SNS Tours Coordinator.
  • Assist with organizational communications, website maintenance, and material preparation.
  • Manage information flow and communications.
  • Maintain a professional office atmosphere.
  • Schedule and maintain complex calendars.
  • Plan and coordinate on-site and off-site meetings, workshops, conferences.
  • Make administrative decisions and judgments within the realm of responsibility.
  • Coordinate and prepare domestic and international travel requests.
  • Prepare and review written materials per company policy.
  • Initiate and maintain commitment/suspense system to track important correspondence.
  • Create and maintain electronic filing systems.
  • Create requisitions and purchase orders.
  • Assure compliance with office procedures and guidelines.
  • Identify and recommend changes to enhance organizational performance.
  • Assist with special projects and assignments.
  • Handle sensitive information with discretion.
  • Maintain a consistent work schedule during core hours.

Basic Qualifications:

  • High School diploma and a minimum of seven years of relevant office experience.
  • Excellent interpersonal and communication skills.
  • Proficiency in Microsoft Office Suite and Adobe Acrobat.

 

Preferred Qualifications:

  • Associate degree or higher in a related field.
  • Previous ORNL or DOE experience.
  • Motivated self-starter with the ability to work independently and collaboratively.
