Responsibilities
UCLA Health IT’s Program Management Office’s (“PMO”) Operation Manager reports to the Director Program Management and oversees the day-to-day operations of the PMO as well as leads assigned PMO centered projects. In this role, you will prepare various Governance meeting materials (e.g., NPR, Re-Calibration, etc.) and facilitate project intake compliance and validation, ensuring project names, project descriptions, and other required project artifact data adhere to requisite standards. You will also oversee PMO-centered small to medium-sized, minimally to moderately complex, projects, and take ownership of the PMO Master Calendar, including the facilitation, coordination, tracking of delivery, listing the “blockers”, and finding resolutions to achieve on-time delivery of assets. Additionally, you will aid in the development and delivery of all PMO Department communications, creation and maintenance of all PMO operations workflow documents, and ensure the continuous management, assignment, and follow-up of our ServiceNow queue and department email box including, when appropriate, converting these communication channels to service or enhancement tickets and tasks.
You will proactively seek opportunities to automate PMO processes, and you will serve as the PMO liaison in order to facilitate a close working relationship between, and with, the members of designated groups.

REQUIRED:
- Bachelor’s Degree in Information Technology, Health Care, Business Administration or related field or equivalent work experience
- Minimum of four (4) years project management, project analyst, or PMO experience – preferably in an acute or academic research hospital environment
- Ability to achieve a Project Management Professional Certification (“PMP”) within 2 years of hire (Minimum requirements to sit for the PMP Certification exam; 4-year degree, plus 36-months of verifiable project management experience, plus a project management education requirement. Or, a secondary degree, plus 60-months of verifiable project management experience, plus a minimum project management education requirement)
- Ability to achieve at least one secondary project certification (e.g. PgMP, Scrum Master, Agile Coach, Six Sigma Green Belt, Lean Green Belt, Etc.) within 4 years of hirew
- Working knowledge (or quick ability to master) of Project Portfolio Management tools (e.g. Clarity PPM, Planview, Innotas, etc.)
- Working knowledge (or quick ability to master) of collaboration tools (e.g. Jira, Confluence, Project Place, etc.)
- Outstanding written and oral presentation skills
- Proficient in the use of standard business applications
PREFERRED:
- Experience with Clarity PPM
- In-depth knowledge and practical experience with Jira
- Master’s degree in Business Administration, Information Technology, or related field
- Current and active PMP certification
- Experience leading projects in a formalized, complex organization/environment
- ITIL Foundational certification
