Operations Coordinator


Required Qualifications (as evidenced by an attached resume):
Bachelor's degree (foreign equivalent or higher). In lieu of a Bachelor’s degree, an Associate’s degree with two (2) years of directly related full-time experience may be considered. Two (2) years of full-time professional experience working in an office environment. Must have, keep and maintain the appropriate valid NYS Driver’s License; have a motor vehicle record which is free from major violations or a pattern of repeat violations. Preferred Qualifications:  
Previous experience in the public sector. Previous experience in a large scale health care, and/or higher education setting, or within a large complex environment. Proficiency with Microsoft Office including Word, Excel, and PowerPoint. Experience coordinating the scheduling and the tracking of records for employee training. Two (2) or more years of administrative experience working in a safety-related capacity.
Brief Description of Duties: 
Reporting to Chief of Police and Assistant Vice President for Healthcare Safety, the incumbent is responsible for assisting the Director of Public Safety in the coordination of all administrative functions for East Campus Security Operations and is tasked with assisting in the operations of security programs designed to protect students, faculty, staff, patients and visitors who visit the Stony Brook University Medical Center, Long Island State Veterans Home, Health Science Center and other East Campus medical facilities. The appointed candidate will also have excellent customer service and interpersonal skills, strong organizational and time-management skills with exceptional attention to detail.

  • Administrative Support – Provide professional and administrative support for the day to day security operations. Prepare reports utilizing statistical and narrative information. Monitor and maintain department files – both paper and electronic. Maintain and update department documents, forms and manuals. Track department budget expenses, provide reports. Assist in the development of department policies. Maintain department equipment inventory. Monitor and track program activities, schedule meetings and maintain calendars.  Update and post staff schedules. Assist in the preparation of budget requests.
  • Training and Regulatory Compliance – Coordinate administrative functions associated with the department’s training requirements, including preparation of training materials along with monitoring and tracking employee attendance. Create and update spreadsheets utilized to track employee training needs and progress to ensure compliance with regulatory agencies. Ensure compliance with all Hospital Human Resources regulatory policies and procedures.  
  • Coordinate projects that enhance security. Participate in Risk Assessment to identify program deficiencies. Identify measures to address deficiencies. Assist director and associate director in identifying resources for deficiencies. Participate in Hospital safety initiatives, committees and programs. Liaison with other departments to advance safety initiatives. Supervise department interns.
  • Customer Service and Communications - Respond and address general security inquiries. Respond to various requests, complaints and inquiries. Work independently and in conjunction with other Public Safety staff to address department’s requests. Communicate and market safety information to internal and external stakeholders. Prepare reports and presentations related to safety projects.
  • Access Control – Track, request and log access control access requests.  Monitor department keys. Assist with the coordination of East Campus Access Control projects. Provide administrative project support to departments requesting access control equipment.
  • Other duties or projects as assigned as appropriate to rank and departmental mission.


Special Notes:
This is a full-time appointment. FLSA Non Exempt position, eligible for the overtime provisions of the FLSA. 

This position is eligible for $3,026 UUP annual location pay, paid biweekly.
Essential Position: This has been designated as an essential position based on the duties of the job and the functions performed. Positions that are designated as such may be required to report to work/remain at work even if classes are canceled, and the campus is working on limited operations in an emergency.
