Position Summary:

Florida Atlantic University is seeking an Operations Coordinator, Executive Education - Boca Raton, FL.

The position will assist in the planning, coordination, and execution of projects and events.

Summary of Responsibilities:

  • Responsible for creating Purchase Orders.

  • Responsible for processing invoices and working with the controller’s office to submit appropriate documentation to process the payments.

  • Process spend authorizations for faculty, staff, and students.

  • Inventory Management to include the Ordering Supplies for Daily Operations, Events, and Exec Ed Classes.

  • Planning, coordination, and execution of projects and events with co-workers, various university departments and community partners.

  • Event Management (food ordering, porter service, event set up, room booking, parking, staffing).

  • Responsible for setting up refreshments and catering on evenings and weekends for students and faculty.

  • Liaise with internal and external constituents to identify and define requirements, scope, and objectives.

  • Other job-related duties as assigned.

Minimum Qualifications:

A master's degree from an accredited institution in an appropriate area of specialization, or a bachelor's degree from an accredited institution in an appropriate area of specialization and two years of related experience required.
Preferred Skills and Experience:
● Data entry skills
● Proficiency in English and in MS Office Suite
● Customer service orientation and negotiation skills
● High degree of accuracy and attention to detail
● Solid organizational skills, including multitasking and time-management.
● Strong client-facing and teamwork skills
● Ability to resolve routine problems as they arise and recommend how problems can be resolved
● Exercise some independent judgment in following established procedures where alternatives are limited.
The Operations Coordinator position requires a service minded, well-organized, detail-oriented person with strong interpersonal and written/verbal communication skills and a good multi-tasker.
The position requires an outgoing individual who enjoys providing a high level of service and assisting other people.
This individual should know how to prioritize tasks, work well under deadlines/pressure, does not mind work in a fast-paced environment, and is a team player with a flexible schedule.
Teamwork is important in this position to build collaborative relationships with colleagues and customers representing diverse cultures, races, ages, genders, religions, lifestyles, and viewpoints."

Salary:

$50,000 to $55,000 per year.
Exempt Administrative, Managerial, Professional (AMP)

Work Days and Hours:

Monday - Friday, 8am - 5pm. Weekends and Nights as necessary.
*Weekend and Weeknights required for appropriate staffing of events.
* Provide support during the Executive Education classes on weeknights and weekends.
