Operations and Systems Coordinator (SAL 8)

Summary:
Under the general direction of the Dean of Labor and direct supervision of the Assistant Director of Operations and
Systems, the Operations has primary responsibility for the financial components of the Student Labor Program,
including maintenance of a $4 million budget and processing of scholarship disbursements for ~1500 students. Secures
and maintains documentation for paperwork related to student position assignment and scholarship disbursements. This
role is responsible for supporting the maintenance of all program operations and systems.

Minimum Qualifications Required:

• Bachelor’s Degree, required

Experience required to ensure success in this position:
• Substantial payroll experience in a large organization;
• Experience preparing budget projections;
• Accounting experience
• Experience reconciling budgets on a monthly and yearly basis;
• Experience in a higher education office environment preferred;
• Experience supervising professional or student staff members

Special skills, knowledge and abilities:
• Excellent communication and organizational skills;
• Excellent mathematical skills and attention to detail;
• Ability to interpret, accurately communicate, and ensure compliance with college and outside policies related to
employment in general, the Student Labor Program, and the Federal Work Study Program;
• Expertise in various office-based computer programs including MS Office and MS Outlook (experience with

Banner administrative data modules strongly preferred);
• Efficient planner for processing large volumes of work on a timely basis with a student staff working part-time
and at variable hours;
• Ability to function efficiently under pressure to meet schedules, and willingness to work hours needed to
complete work on time for student payment periods and other deadlines;
• Reliable and honest, a quick learner, adaptive to change;
• Possess an aptitude for working positively with a diverse student workforce and have a positive interpersonal
communication style with a service-oriented professional attitude.

License, certification, or registration necessary:
• None required

Physical requirements:
• Must be able to sit for extended periods of time with computer use;
• Must be able to frequently use computers and other standard office equipment;
• Requires clear and effective communication;
• Ability to maintain a high level of energy is a plus.

Environmental conditions:
• Indoor fast-paced office environment and out of office visitation and support of ~100 labor departments with
diverse work environments

Ability to operate the following vehicles or equipment:
• Ability to operate office equipment, including printers, scanners, etc.

Primary Duties and Responsibilities:

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed

• Oversee and maintain the work scholarship disbursement process (preparation, processing, reporting, and
analytics).
• Responsible ensuring student’s enrollment in a practical educational position within the labor program (eg. labor
status forms).
• Gatekeeper for maintaining the essential daily processes and procedures to ensure the data integrity and accuracy
of payment and enrollment records in the Banner, I-9, TRACY/UltraTime, and the on-line forms site. Including
working closely with the Assistant Director of Operations & Systems in their role to ensure the accuracy,
synchronization and required maintenance/support of the Labor Program system infrastructure.
• Collaborate with others to maintain accuracy in all elements of reporting and payments-related documentation
and processes.
• Coordinate the student work scholarship disbursement schedule within the College calendar with Student
Financial Aid Services, Student Accounts, Information Technology, and Human Resources; serve as a liaison with
all departments on all payment details, informing generally and specifically as questions arise.
• Input, and monitor all payment data and position records to assure compliance with institutional policies
(allocations, grade restrictions…), federal statutes, and regulations.
• Participate in program and other campus-wide events as needed (e.g., Student Orientation, Berea Labor Day …).
• Reconcile records with the budget at the end of fiscal year.
• Process the student payments accurately and in a timely fashion for approximately 1,500 students whose time is
recorded and submitted by approximately 100 departments during the regular academic and summer terms.
• Support the Assistant Director of Operations & Systems in providing the day-to-day operational support needed
for a merged Labor Program/Student Payment Office. The responsibility includes assisting with the hiring,
training, scheduling, evaluating, and providing leadership for the student staff.
• In support of Berea College’s great commitments this position requires student supervision. The fourth great

dignity and utility of all work, mental and manual, and taking pride in work well done. The Supervision would
include scheduling, assigning and approving work performed. Developing students about common workplace
