Position Summary
This position may be eligible for a hybrid work arrangement that may include a partially remote work location, consistent with System Office policy. UNC Chapel Hill employees are generally required to reside within a reasonable commuting distance of their assigned duty station in Chapel Hill, NC.
Reporting to the Executive Director of Marketing, the Operations and Project Manager partners with colleagues throughout the University Development Office and OneCarolina community to help plan and manage marketing and creative projects. The individual in this position is a skilled problem solver with the ability to communicate effectively with a variety of stakeholders, has a positive attitude, and displays a willingness and flexibility to help meet department/university goals in any capacity. Efficiency and expert-level organizational skills are a must managing expectations is as important as managing projects. The individual in this position takes initiative and is results oriented. The position works closely with the UDO Marketing and Communications team and business partners to define project goals and identify metrics for success. This position develops processes, milestones, and timelines to create and write project plans that ensure projects meet objectives and align expectations, taking appropriate action to overcome obstacles where necessary. This position will coordinate resources and partner with cross-functional teams. This position will liaise with project stakeholders and report on progress using the appropriate tools, guaranteeing quality data in our project management system. This position will also develop quantitative reports to assist leadership in understanding project impact.
Specific duties include:
TEAM STRATEGY AND PLANNING
Lead UDO Marketing team meetings to review weekly/monthly priorities and goals. Participate in UDO Marketing Directors’ meetings to review new projects and potential challenges and provide recommendations. Advise directors on operational roadblocks and challenges; recommend actions for improvement. Work with Executive Director of Marketing and Director of Marketing to establish annual departmental goals and plan team building opportunities for the UDO Marketing team, including bi-annual team retreats. Collaborate with project and account managers to manage traffic and determine whether there is more work coming in and whether there is a need to push back deadlines, hire contractors, or plan potential hires. Ensure that work for creative and production teams is equally distributed.
PROJECT STRATEGY AND TRAFFICKING
Routinely monitor project management software, protocols and processes to ensure teams are working at maximum ease and efficiency. Audit and organize UDOM service list and make recommendations for long-term strategies and action plans to increase efficiency. Identify where team could do less or more to effectively support 400+ person development operation. Manage project intake and assignment. Advise Marketing Managers, who manage individual projects, based on knowledge of service list and project load. Traffic projects according to team member bandwidth/availability and track progress to completion.
ASSET MANAGEMENT
Routinely monitor Development collateral to identify and replace outdated content as needed. Ensure collateral is easily accessible on intranet for Development colleagues across campus.
AGENCY MANAGEMENT
Act as the primary point of contact with agency(ies) hired to support UDO fundraising, campaigns, etc.
BUDGETING AND FINANCE
Work with Executive Director of Marketing and Communications to build departmental budgets and ensure all estimates and expenditures are tracked in the budget. Work with UDO finance team to reconcile credit card receipts and process invoices from freelancers and vendors. Oversee Requests for Proposals, as needed.
Minimum Education and Experience Requirements
Bachelor’s degree in business administration or a related discipline; or an equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.
Required Qualifications, Competencies, and Experience
The ability to skillfully identify and manage areas of operational improvement based on the needs and strategies of multiple marketing and communications teams, including writers, designers, photographers/videographers, web developers and marketing managers. Balance the priorities of a 15+ person team — that supports a 400+ development operation — and prioritize projects for maximum impact and support for the team. A high degree of technical acumen, data focus, love for details, and a passion for helping get things done as a team. Love puzzles and problem-solving and are driven to find solutions, being creative where necessary to help the entire team make the largest impact on the university and our donors. A ‘people’ person and work well with others. See situations/challenges from multiple perspectives and provide recommendations that lead to solutions. Enjoy working in a fast-paced environment. Have demonstrated a deep technical knowledge of project management systems and an eye for efficiency. Have experience working in marketing and/or fundraising.
Preferred Qualifications, Competencies, and Experience
Experience working on a fundraising team and knowledge of donor engagement, solicitation and stewardship strategies. Experience using Basecamp project management software. Experience managing departmental budgets. Experience working with agencies.
