GENERAL DESCRIPTION
Performs various duties in supporting the Visitors Center team’s efforts to identify and recruit prospective undergraduate students. Participates in promoting the university in a variety of ways such as servicing on-campus appointments and information sessions with prospective students, families, and other critical influencers such as counselors, teachers, and support staff members, covering planned recruitment travel in various territories when needed, and providing staffing for on-campus and virtual recruitment events.
Performs a variety of duties in supporting the recruitment team’s daily operations such as maintaining email communication from the general admissions account, assisting with financial aid, and counseling prospective students via virtual appointments or phone calls.
Plan, coordinate, and implement strategic virtual events to showcase the Illinois Tech experience. Determine appropriate recruitment events for different schools/regions/audiences.
Oversee daily call communication center operations, ensuring exceptional customer service for prospective students and other stakeholders. Work strategically across the department for call campaign development and student management.
Interviews, counsels, and advises prospective students, parents, and school counselors. Visits high schools and community colleges in targeted areas and participates in national, regional and local college fairs.
Monitor and assist in the operations and facilities management and maintenance of the Illinois Tech Visitors Center.
This position primarily requires on-campus work. Travel coverage in all recruitment territories may occur throughout the year, as well as some weekend and evening work.
COMMUNICATIONS
Communicate extensively with prospective students and applicants primarily through electronic, verbal and in-person means regarding the application/admission process and opportunities/services at IIT; will also need to effectively communicate internally with IIT faculty, staff and current students. Give presentations to small and large groups both at on-campus programs and while traveling.
Demonstrate communication, interpersonal and organizational skills along with the ability to function as a team player. Influence management by supplying key data that assists in decision making.
Represent the university to prospective and current students and their families, as well as peer university personnel and other external groups, both on and off campus.
CUSTOMER SERVICE
Ability and commitment to providing extraordinary customer service to one’s colleagues, prospective and current students, and any other individual or organization connected to the delivery and enhancement of the university’s mission and vision statement.
Demonstrated ability to work in a team-based environment. Ability to work with traditional and non-traditional students.

Qualifications


Education & Experience
Bachelor’s degree required; 0-2 years experience.
Knowledge & Skills
Excellent verbal, written, and interpersonal skills, and ability to multitask essential. Spanish proficiency is considered, but not required.
Knowledge of admission and recruitment software is preferred. General knowledge of spreadsheets, word processing, social media, and presentation software is highly preferred. Demonstrated ability to work in a team-based environment that at times can be fast-paced.
Excellent time management skills and flexibility to balance significant travel and in-office responsibilities.

Physical Environment and Requirements
Normal office environment. Shared workspace.
Position requires the ability to travel to remote locations and to load and transport boxes of admission materials, displays and other equipment. Ability to give tours of campus if necessary.

Conducting On-Campus Meetings with Prospective Students and Recruitment:
Meet with prospective students and families on campus to provide counseling regarding the admissions process, opportunities at the university, financial aid offers, and college readiness.
Lead general information sessions and virtual webinars about Illinois Tech and the admissions process for groups of prospective students, families, college counselors, and any other relevant influencers.
Serve as the primary staff member who meets with students and families during on-campus daily visit appointments, tours, and group visits.
Manage ongoing strategic communications (including email, print, and other media) with prospective students, parents, school counselors and other individuals or organizations involved in the college selection process.
Represent the university both on and off campus to prospective students, parents, school counselors and other individuals or organizations involved in the college selection process. While this position does not require ownership and management of a full recruitment territory, the staff member in this role may be required to cover recruitment travel in various territories when needed.
Provide counseling regarding the admission process and opportunities at the university. One-on-one admissions counseling to diverse populations is an important responsibility of this position. Admission counseling occurs primarily by in-person appointments, phone calls and emails.

Call Center Management:
Responsible for overseeing the day-to-day operations of the UG Admission communications center and leading a team of student representatives. The main focus will be on ensuring exceptional customer service for prospective students, parents, and other stakeholders. Drawing on strong leadership and communication skills, provide guidance and training to students, ensuring they handle inquiries, provide accurate information, and address concerns effectively. Collaborating closely with various departments, work to maintain consistent and relevant messaging across all interactions.

Virtual Event Management
Plan, coordinate, and implement strategic virtual events to showcase the Illinois Tech experience. Determine appropriate recruitment events for different schools/regions/audiences.
Develop event programming for specific virtual experiences, collaborate with internal and external partners, plan Zoom staffing and logistics. Coordinate and monitor event timelines and ensure deadlines are met. Initiate, coordinate and/or participate in all efforts to publicize events. Coordinate event materials and data, including registration and attendee tracking, presentation and materials support, and pre- and post-event evaluations.

Visitors Center Management
Oversee operational aspects of the Illinois Tech Visitors Center. Maintain facilities through work orders, water orders, staffing, and maintenance. Conduct and coordinate daily walkthroughs of the visitors center to ensure everything is set and placed.
