Position Summary
This position is responsible for the coordination of administrative functions for the departments throughout the College of Business, including, but not limited to; the CBA Dean, Associate Dean, and Assistant Dean. The office supervisor performs complex and varied administrative support duties that requires a high degree of decision-making and independence of action and functions as the direct supervisor of other staff position(s): (Executive Secretary, CBA Dean’s Office—OP-6) and student employees of the Dean’s office.
Required Qualifications
Associate’s degree, preferably in business or related field, or equivalent (high school diploma and two years of experience).
Three years of relevant experience, preferably in an administrative support role.
Experience with Microsoft Word.
Customer service experience.
Spreadsheet and/or database experience.
Organizational skills with strong attention to detail.
Demonstrated positive interpersonal skills.
Effective verbal and written communication skills.
Ability to project a positive attitude.
Ability to manage multiple projects and meet deadlines with accurate results.
Ability to compose, proofread and edit correspondence.
Ability to perform the essential functions of the job.
Preferred Qualifications
Bachelor’s degree in a business related field.
Knowledge of Excel, Outlook, Publisher and SAP.
Demonstrated ability to design/maintain web pages.
Duties & Responsibilities
Responsible for the supervision and direction of the work effort of assigned clerical staff, which includes orientation, training in policies and procedures, operation of office and daily oversight and direction.
Coordinates and monitors work flow of students, including hiring, scheduling, supervision, and training.
Accesses CBA Dean and Associate Dean’s calendars when necessary for scheduling meetings and appointments.
Compiles and coordinates the preparation of annual reports for both individual departments and the college.
Serves as building coordinator for Grawn Hall, monitors space allocation in general, monitors furniture allocation, and troubleshoots for faculty and staff regarding building issues.
Directs the scheduling and updating of select rooms/space on the College Calendar System in Outlook.
Plans and directs implementation of CBA events for the Dean’s office, including Beta Gamma Sigma induction ceremony, graduate student CBA hooding ceremony, Integrated Core, Six Sigma, Share Listen and Learn, and various receptions, etc. Helps as needed with CBA Hall of Fame, CBA Alumni Awards, Homecoming events, Dialogue Days, CBA Golf Outing, and CBA Day events.
Coordinates and serves as support for the Dean, the Associate Dean, and the Assistant Dean.
Directs staff and assists in handling walk-in traffic and phone calls to the CBA Dean’s Office; supervises mail sorting for the building and deliveries for the Dean’s office.
Prepares all correspondence as assigned by the Dean and the Associate Dean; responsible for Article VI letters for both tenured and tenure-track faculty, working with the Dean and Associate Dean to ensure preparation and delivery of the letters to the faculty members within three weeks after the meeting.
Manages and monitors the CBA research credit account. Reconciles this account monthly in SAP.
Prepares letters to faculty regarding their submissions for research credit and provides record keeping for expense and reimbursement vouchers processed.
Reviews CBA departmental credit card reconciliation forms for accuracy before forwarding to Associate Dean for authorizing signature and further processing.
Assists with the college accreditation process; assists in preparing the accreditation reports, and monitoring and inputting data into the faculty research website (OFIS).
Oversees/approves TimeClock Plus payroll entries for staff and student workers.
Prepares purchase requisitions, invoice vouchers, equipment moving and maintenance requests.
Directs the cleaning and organization of back rooms (supplies, refrigerator, recycling) as needed.
Coordinates college-wide information and communication with the Coordinator of Communications, Marketing and Social Media. (CBA listserv lists, college meetings, and events).
Maintains the CBA faculty and staff listserv lists as well as a CBA faculty and staff directory; updates them each semester.
Processes and oversees distribution of Dean’s List letters each semester (printing, folding and mailing).
Conducts special projects and assignments as directed by the Dean, the Associate Dean, or the Assistant Dean.
Serves as point of contact for college curricular coordination, prepares minutes for the CBA Curriculum Committee and manages college-level approval in the university database.
Maintains and assigns keys for Grawn Hall exterior doors and classrooms for faculty and staff.
Attends/participates in Dean’s Advisory Council (DAC) meetings; prepares meeting minutes in a timely fashion and distributes them to DAC members for review and then to faculty and staff.
Coordinates communications regarding funding between the Dean’s office and the Dean’s Student Advisory Council (SAC) and processes invoice vouchers for reimbursement.
