The Office and Study Abroad Administrator supports the Spanish and Portuguese Department in its mission to help Princeton students flourish as global citizens, ready to face the challenges posed by an increasingly cosmopolitan and multilingual professional world. This position coordinates international initiatives including three summer study abroad programs (in Argentina, Portugal and Spain) and course-related field trips, manages departmental communications and social media, and creates and maintains a welcoming and productive office environment. This position reports to the Department Manager.

STUDY ABROAD

  • Design publicity
  • Lead information sessions
  • Manage application process
  • Produce reports
  • Trouble-shoot and resolve technical issues with system applications

COMMUNICATIONS

  • Compose weekly newsletter
  • Write featured news articles
  • Create e-flyers and print publicity; strategize targeted marketing campaigns
  • Manage social media and web content; post photos and announcements
  • Maintain listservs

OFFICE COORDINATION

  • Front desk reception
  • Handle classroom requests and room reservations
  • Schedule meetings
  • Order food for meetings; set up and clean up
  • Provide general office support; occasional clerical support for Department Chair


REQUIRED QUALIFICATIONS:

  • Three or more years of experience preferably in a University setting, working with study abroad programs and/or managing communications/social media
  • Excellent project leadership skills; attention to detail and accuracy
  • Strong written communication skills, able to produce high-quality news pieces and social media posts
  • Superior interpersonal skills; the ability to communicate effectively and create a warm, welcoming environment
  • Excellent organizational skills; ability to set priorities and juggle competing demands
  • Tact, good judgment, and the ability to maintain confidentiality when handling sensitive information
  • Proficient in MS Office Applications (Word, Excel, Outlook), SharePoint, and data management systems

PREFERRED QUALIFICATIONS:

  • Bachelor’s degree
  • Spanish and/or Portuguese language skills 
  • Familiarity with Princeton University campus resources, culture, and computing systems (PeopleSoft, Concur, Enroll My Trip, Global Programs System and Drupal)
  • Experience with Instagram, Facebook, Twitter, MailChimp and listservs
