Job Description

As the Office Specialist, you will be the initial point of contact and at the center of our department's daily operations. In this role, your primary focus will be delivering high-value customer service to partners, students, faculty, and staff. You will be responsible for executing a diverse range of intricate office and clerical support tasks directly tied to our department, demanding a profound understanding of specialized functions. Drawing on this specialized knowledge, you will work independently to assess and address administrative matters within established guidelines. Whenever complex issues or matters requiring policy deviations arise, you will have access to guidance and leadership from your supervisor. Additionally, you will take charge of monitoring and coordinating the activities of team members operating within your assigned function.

Essential Duties

  • Provide high-quality customer service in person, by telephone, and by email
  • Submit weekly department supply orders and distribute items when received.
  • Operate office equipment such as copiers, calculators, word processors, computers, and other equipment found in the office; use multiple computer software systems and applications to complete daily work functions.
  • Draft/compose standard correspondence to staff and vendors.
  • Manage key requests and key inventory.
  • Manage building access including Sun Cards, contractor cards, and keys.
  • Shipping, receiving, and distribution of mail and packages, including live animals.
  • DEA drug receiving, processing, and distribution.
  • Update the DACT and Vivarium contact lists as needed.
  • Process and log animal health reports into SharePoint.
  • Serve as the office point person to assist with onboarding new staff.
  • Serve as back-up for financial needs and animal ordering.
  • Back up student worker responsibilities when necessary.
  • Logistics management for DACT activities:
    • Support DACT meetings (e.g., room reservations, minutes, and attendance sheets).
    • Schedule, advertise, and organize in-services, training, and other events.
    • Maintain training records spreadsheets.
    • Oversee AALAS Learning Library subscriptions.
    • Maintain the department NHP bite kit information and instructions.

Minimum Qualifications

Five (5) years of increasingly responsible office/clerical experience, which includes one (1) year in a directly related function; OR, Any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.


Desired Qualifications

  • Three (3) years of office/clerical experience OR, Any equivalent combination of experience and/or education from which comparable knowledge, skills, and abilities have been achieved.
  • Experience providing excellent customer service
  • Experience in dealing with a wide range of topics, including confidential and sensitive information.
  • Experience in recording, filing, and updating documents
  • Experience in using office equipment such as computers, fax machines, scanners, and copiers.
  • Experience with data entry; MS Office Applications (Work, Excel, Outlook).

Working Environment

  • Sit or stand for prolonged periods of time
  • Work collaboratively across various departments within the University as well as with diverse populations and groups
  • Walk throughout campus for meetings or events, regardless of the weather
  • Uses a computer, keyboard, manipulates computer mouse, telephone, printer, fax, and copier
  • Maintain databases and developing reports
  • Schedule appointments and maintain calendar
  • Communicate to perform essential functions
  • Regular activities require ability to quickly change priorities which may include and/or subject to resolution of conflicts, problem solving, and teamwork.
