Essential Duties

  • Manages or assists in the management of the director's calendar. 
  • Coordinates or assists with events, may include arranging equipment and catering; sending invitations and managing RSVPs. 
  • Compiles, prepares, and maintains background material related to meetings, events and travel; coordinates and tracks follow-up.
  • Provides word processing, and processing of correspondence and e-mail.
  • Answers phones, greets visitors, and directs questions to appropriate offices for resolution.
  • Maintains files; completes requests, records, submits and tracks purchases.
  • Provides back-up to other staff in the office.

Minimum Qualifications

Five (5) years of increasingly responsible office/clerical experience, which includes one (1) year in a directly related function; OR, Any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.


Desired Qualifications

  • Experience working at a College or University
  • Evidence of effective communication skills
  • Experience providing administrative support
  • Experience with software programs such as Microsoft Office including Outlook, Excel, Word and PowerPoint, Concur, Sunrise, Peoplesoft, Workday, Canvas, and Slack

Working Environment

  • Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding, and manipulating a computer mouse
  • Work collaboratively across various departments within the University as well as with diverse populations and groups
  • Use computers effectively – including inputting, reviewing and retrieving information, extended periods of viewing screen and using mouse and keyboard

Department Statement

The Center for Evolution and Medicine seeks an Office Specialist Sr., based at the Tempe campus, to provide support to the Center and its Director. Under general supervision will perform a variety of administrative tasks.

Flexible work arrangements are available in an alternative or hybrid schedule but will be based on the work and the needs of the Center and pending leadership approval.
